High-ticket trip enquiries usually die before price is discussed, because nobody held a real conversation in the first two days. Harvard Business Review found companies that answered a web lead within 30 days took 42 hours on average, and contact within an hour made a lead nearly 7 times as likely to qualify as contact an hour later. The fix: a two-way conversation inside 48 hours.
- The question operators ask: “why are my travel enquiries not converting?” For trips of $10,000 and up, the answer is usually at the first stage that broke, not at the itinerary.
- The 48-hour rule: an enquiry that has not had a two-way conversation (a call, or a live message exchange) within 48 hours is treated as lost. It goes back into the nurture sequence and is no longer counted as pipeline.
- Published rates are thin: CausalFunnel, a software vendor, lists luxury travel agencies at 10% to 20% and group tour operators at 12–18% enquiry-to-booking, with no method published. Proposify’s 742,137-proposal dataset puts hotel and venue proposals at 14%.
- The proposal mistake: emailing a priced itinerary before an itinerary-review call has been booked with everyone who decides.
- Day one: pull your last 50 enquiries and write down the hours to first two-way conversation for won and lost.
Why are my travel enquiries not converting into bookings?
A luxury, expedition or safari enquiry passes through five stages: first reply, first conversation, scoping, proposal, and deposit. Each common cause of lost bookings breaks one stage and leaves the others intact. That is how you tell them apart. No public dataset says how often each cause occurs among travel operators, so the table is in funnel order, which is also the order to test in.
| Stage | Symptom | Likely cause | Test that separates it | Fix |
|---|---|---|---|---|
| 1. First reply | Fewer than 6 in 10 enquiries ever reply to you | Reply too slow or automated-only | Split last 50 enquiries by reply time: under 1 hour vs over 24 hours. A 2x gap in conversations points here | Personal reply and call attempt within 60 minutes, in the traveller’s time zone |
| 2. First conversation | Under 50% have a two-way conversation within 48 hours | Email-only follow-up; no phone or messaging attempt | Count call attempts per enquiry. Under 3 in 48 hours means it was never really tried | Three call attempts plus SMS or WhatsApp where consented, inside 48 hours |
| 3. Scoping | Conversations happen but few reach a proposal | Wrong-fit enquiries (spend well below your rate) | Compare last nightly spend with your rate. If most lost enquiries spent under 60% of it, it is a lead-quality problem | Qualify on past spend before building anything |
| 4. Proposal | Proposals go out, then silence | Itinerary emailed without a booked review call; partner not involved | Of the last 20 proposals, count those presented live. If fewer than 10, start here | Book the review call with every decision-maker before you build |
| 5. Deposit | “Yes, we love it”, no deposit | No hold expiry; no deposit date agreed on the call | Check how many open proposals have a written hold expiry date | Agree a dated hold (for example 7 days) on the review call |
A travel enquiry that never reached a two-way conversation was never tested on price, so lowering the price will not recover it. Most operators look at stage 4 first because it is the stage they see. Start at stage 1, because it is the cheapest to measure.
How it works
The 48-hour fix for a high-ticket trip enquiry
Reply within the hour
Send a personal reply and try a call in the traveller’s time zone. The aim is a conversation, not an acknowledgement.
Hold the scoping call
Confirm dates, party, last nightly spend and who else decides. Write the brief in their words.
Book the review call
Book the itinerary-review call with every decision-maker before you build the proposal. Never send an itinerary into silence.
Walk the proposal through
Present the itinerary live and agree the hold expiry. A deposit date is the finish line.

What conversion rate should a $10,000+ trip enquiry reach?
There is no credible public benchmark for enquiry-to-deposit conversion on high-ticket trips. The figures that circulate come from vendors, and they disagree, including with themselves. Measure your own rate as deposits paid ÷ qualified enquiries, inside a fixed window such as 90 days, and compare this season with last.
| Source | Figure | Denominator | Caveat |
|---|---|---|---|
| CausalFunnel (vendor) | Luxury travel agencies 10% to 20%; adventure tour operators 8–15%; group tour operators 12–18% | Enquiries to bookings | No sample or method published |
| CausalFunnel (same page) | Luxury and group travel “can take up to 3 months” to book; elsewhere “6-12 months” | Time from enquiry to booking | The page contradicts itself; use your own data |
| Proposify (vendor dataset) | Hotel and venue proposals close at 14%, in 1.05 days on average; all industries 34% | 742,137 proposals, 30 industries | Hotel and venue is the nearest category, not tours |
| Harvard Business Review (Oldroyd, McElheran, Elkington) | Contact within an hour: nearly 7x as likely to qualify as contact an hour later; more than 60x as likely as after 24 hours | 1.25 million leads, 42 US companies | Not travel-specific; measures qualification, not bookings |
A widely repeated claim that $2,000 trips convert at 25–35% and $15,000 trips at 15–25% is not on the page it is usually attributed to, as read on 3 October 2026, so it is not used here. The only number that matters is your own conversion rate, split by trip price band and by hours to first conversation.

The 48-hour fix, hour by hour
The 48-hour fix is a sequence, not a tool. It treats the first two days of a high-ticket enquiry as the selling window and the itinerary as something you present, not something you send.
- Hour 0–1: a personal reply that names their dates and destination, plus a call attempt in their time zone. If enquiries land overnight, someone in the buyer’s daytime has to own this hour.
- Hour 1–4: second call attempt and, where the traveller has consented, a short SMS or WhatsApp asking for a 15-minute slot.
- Hour 4–24: scoping call: dates, party, who decides, what they spent per night last time. Score it with the 15-point luxury travel enquiry score before you build anything.
- Hour 24–48: book the itinerary-review call with every decision-maker on it, then build the proposal for that call.
- Review call: present it live, agree a dated hold, and send the deposit link while you are still on the call.
The finish state is simple: every open enquiry either has a review call in the diary or has been moved to nurture within 48 hours. In our own client work, speed to lead alone typically lifts conversion around 3x. That is our operator observation, not a study, and it varies by offer. What the independent studies did and did not measure is on our speed-to-lead benchmarks page.
What is the 48-hour conversation gap worth?
Worked example (illustrative): an expedition operator receives 40 qualified enquiries a month at an average booking of USD 14,000. Enquiries that never reach a conversation are assumed to book at 2%. The conversation-to-deposit rate is shown in three assumption bands. Replace every rate with your own.
| Conversation-to-deposit rate (assumption) | 50% reach a conversation in 48h | 85% reach a conversation in 48h | Monthly revenue difference |
|---|---|---|---|
| 15% | 3.4 bookings (USD 47,600) | 5.2 bookings (USD 73,080) | USD 25,480 |
| 20% | 4.4 bookings (USD 61,600) | 6.9 bookings (USD 96,880) | USD 35,280 |
| 25% | 5.4 bookings (USD 75,600) | 8.6 bookings (USD 120,680) | USD 45,080 |
The arithmetic: at the 20% band, 20 conversations × 20% = 4.0, plus 20 silent enquiries × 2% = 0.4, gives 4.4 bookings. At 85%, 34 × 20% = 6.8, plus 6 × 2% = 0.12, gives 6.92. In this model, moving the 48-hour conversation share from 50% to 85% adds between 53% and 60% more bookings across the three bands, without one extra enquiry.

Why emailing the itinerary loses high-ticket trip bookings
A priced itinerary sent by email is read without you, often by a partner who was not on the first call. Proposify reports that proposals viewed by more than one stakeholder close at a 20% higher rate in its 2026 dataset, which is a reason to get the second decision-maker into the room rather than forward them a PDF. Proposify also finds hotel and venue proposals close in about a day when they close at all. A proposal that has sat unanswered for a week is probably not being slowly considered. It has most likely been lost.
The fix is to never send an itinerary into silence: book the review call first, then build the proposal for it. For how written proposals perform across industries, see our proposal acceptance rate benchmarks.
Is it a lead-quality problem or a follow-up problem?
Run one test before you change your ads. Take your last 50 enquiries and mark two things for each: hours to first two-way conversation, and the traveller’s last nightly spend as a share of your rate. If lost enquiries are mostly slow and well-matched on spend, it is follow-up. If they were fast but spent under 60% of your rate, it is lead quality, and the fix sits in targeting. If both, fix speed first, because it is cheaper and it is what makes the quality data readable. A trip enquiry is only a lead-quality failure once someone has actually spoken to the traveller.
What does running the 48-hour fix yourself cost?
As an illustrative assumption, each enquiry takes about 25 minutes inside 48 hours: three call attempts, messages, a 15-minute scoping call and logging. At 40 enquiries a month that is roughly 17 hours, before any proposal work, and much of it falls in evenings and weekends in other time zones. The tooling is modest: a CRM with response-time reporting, a calling and SMS tool, and a calendar link.
| Monthly qualified enquiries | Who usually runs the first 48 hours | What breaks first |
|---|---|---|
| Under 20 | Founder or senior travel designer | Nothing, if one person owns the inbox 7 days a week |
| 20–60 | A dedicated coordinator | Weekend and overnight enquiries in far time zones |
| Over 60 | A team, or outsourced appointment setting | Call attempts drop below three per enquiry without anyone noticing |

Frequently asked questions
Why do people enquire about a trip and then not book?
Most often because nobody had a two-way conversation with them while they were still deciding. In the Harvard Business Review audit of 2,241 US companies, 23% never replied to a web lead and those that replied within 30 days averaged 42 hours (HBR, 2011). Price is usually the last cause, not the first.
What is a good conversion rate for luxury travel enquiries?
No credible public benchmark exists. CausalFunnel, a software vendor, lists luxury travel agencies at 10% to 20% enquiry-to-booking without a published method (CausalFunnel). Track deposits ÷ qualified enquiries in a 90-day window and compare with last season.
How fast should I respond to a travel enquiry?
Within the hour, with a personal reply and a call attempt. HBR’s separate study of 1.25 million leads found firms contacting within an hour were nearly 7 times as likely to qualify the lead as firms that waited even an hour longer.
Should I send the itinerary by email or present it on a call?
Present it on a call that every decision-maker attends. Proposify reports that proposals viewed by more than one stakeholder close at a 20% higher rate (Proposify, 2026). Book the review call before you build the proposal.
How long do luxury travellers take to book?
Published estimates disagree. The same CausalFunnel page says luxury and group travel can take up to 3 months in one section and 6-12 months in another. Measure days from enquiry to deposit on your own last 50 bookings instead.
