Send four reminder texts per booked call, each with one job: confirm at booking, ask for a yes-or-no reply the day before, send the join link two hours out, and say you are ready ten minutes before. In a Cochrane review of randomised trials, text reminders lifted healthcare attendance from 67.8% to 78.6%.
The short answer from LeadsNow AI: The SMS reminder sequence that cuts no-shows is four short texts, each with one job, under 160 characters, sent from a number that can receive replies, with every reply routed to a person or an AI within minutes. LeadsNow AI has booked 50,769+ sales appointments since 2017, and show rates vary by offer and reminder cadence, up to 93% on our best-performing accounts.

SMS reminder sequence at a glance
- The evidence: across seven trials (5,841 people), text reminders raised attendance at healthcare appointments from 67.8% to 78.6% versus no reminder (Cochrane review, 2013). Healthcare, not sales: the direction transfers, the size may not.
- The sequence: four texts. Confirm, reply request, join link, ready now. The timing follows the 60/24/2/10 cadence on our page about too many no-shows on sales calls; this page is the copy and the reply handling.
- The length rule: 160 characters is one SMS segment. One emoji or a pasted curly apostrophe switches the text to UCS-2 encoding, and a 140-character reminder becomes 3 billed segments.
- The step that slips: answering replies. A “can we move it?” answered the next morning is a no-show you were warned about.
- The rules differ by country: US (TCPA, A2P 10DLC), Australia (Spam Act, sender ID register), UK (PECR service messages). Table below.
How it works
The four-text SMS reminder sequence
Confirm at booking
Name, business and time in their timezone. Ask for C to confirm or R to reschedule.
Ask for a reply
The day before, ask a yes-or-no question. Route every reply within minutes.
Send the link
Two hours out, the join link alone so attending is one tap.
Say you are ready
Ten minutes before, a short personal text from the person taking the call.

Do SMS reminders actually reduce no-shows?
Yes, on the best evidence available, which comes from healthcare rather than sales. The Cochrane review of mobile phone messaging reminders (Gurol-Urganci et al., 2013) pooled seven randomised trials with 5,841 participants: attendance was 67.8% with no reminder and 78.6% with text reminders, a risk ratio of 1.14. Three trials (2,509 participants) found texts about as effective as phone-call reminders, and two reported a cost per attendance 55% and 65% lower for texts than for calls.
Applied to 100 booked sales calls, that gap would be about 10.8 more held calls. Treat that as illustrative: a patient has more reason to turn up than a prospect. What transfers is the mechanism. The review’s authors name forgetfulness as one of the main reasons for missed appointments, and a text reaches people where they are. For why a single reminder is not enough, see our guide to increasing sales call show rate.

What should each reminder text say? The four-text copy spec
Each text in an SMS reminder sequence has one job, and the copy should do that job and nothing else. Character counts below are for the placeholders filled with a typical name, business and time (for example “Sarah”, “Daniel at Northbridge Coaching”, “map your next 90 days”), in plain GSM-7 characters with no emoji and straight apostrophes. Text 1 is the one that runs long: a longer business name pushes it past 160.
| Text | When | Its one job | Copy that works (coach or consultant example) | Approx. characters | Reply you want |
|---|---|---|---|---|---|
| 1. Confirm | Within 60 seconds of booking | Prove the booking is real and the number is right | Hi [Name], it's [Rep] at [Business]. You're booked for [Tue 14 Oct, 2pm your time], to [one-line purpose]. Reply C to confirm or R to reschedule. | ~155 | C |
| 2. Reply request | 24 hours before | Turn silence into a signal | Hi [Name], still good for [2:00pm tomorrow] with [Rep]? Reply YES, or R and I'll send two other times. | ~100 | YES or R |
| 3. Join link | 2 hours before | Make attending one tap | [Name], here's your link for [2:00pm]: [short link]. [Rep] will be on a minute early. | ~85 | None needed |
| 4. Ready now | 10 minutes before | Make it personal and live | [Rep] here, I'm on the call now and ready when you are. [short link] | ~70 | None needed |
Three content rules carry as much weight as the timing. Put the business name in text 1, because an unknown number with a link looks like the scams people have learned to ignore. State the time in the prospect’s own timezone. And make rescheduling a one-letter reply in every text that asks for one: a reschedule is live pipeline, a ghost is not.
Keep the texts in plain GSM-7 characters. Per Twilio’s SMS character limit table, a GSM-7 message fits 160 characters in one segment and 153 per segment once split; a UCS-2 message (any emoji or character outside GSM-7) fits 70, then 67 per segment. A 140-character reminder is 1 segment in GSM-7 and 3 in UCS-2.
How should you handle replies to reminder texts?
A reminder sequence that asks for replies creates a queue, and the queue is where no-shows are prevented or confirmed. This reply-routing table is the operating spec: every reply type, what it means, and how fast someone has to act.
| Reply | What it means | Action | Act within |
|---|---|---|---|
| C or YES | A commitment | Mark confirmed. Send texts 3 and 4 only. | Automatic |
| R, “can we move it”, “something came up” | Intent survives, the slot does not | Offer two named times inside the next 48 hours, not a calendar link. Free the old slot. | 15 minutes in business hours; first thing next morning at worst |
| A question (“how long is it?”, “is there a cost?”) | Doubt before the call | Answer in one line, then repeat the time | Same hour |
| “Not interested anymore” | A cancellation, said politely | Thank them, cancel, release the slot, log the reason | Same day |
| STOP or any opt-out wording | Consent withdrawn | Suppress the number for all texts. One confirmation text at most. | Immediately |
| No reply to text 2 by 4 hours before | The early warning | A human call or voice note. Do not send a second identical text. | Before text 3 is due |
The quotable version: a reminder text that asks for a reply and gets one nobody answers is worse than no reminder, because it taught the prospect that replying does nothing. Cancellations follow their own recovery logic, covered on our page about cancelled appointment recovery.

Which reminder texts can you skip when the call is booked soon?
Booking lead time decides how many of the four texts make sense. A call booked for 40 minutes from now does not need a day-before reply request.
| Booked how far ahead | Send | Skip |
|---|---|---|
| Under 2 hours | 1 (confirm, with the link in it) and 4 | 2 and 3 |
| 2 to 24 hours | 1, 3 and 4 | 2; put the reply request in text 1 instead |
| 1 to 7 days | All four | None |
| Over 7 days | All four, plus one mid-gap text restating what the call will cover | None |
The longest stage of the reminder timeline is the gap between booking and text 2, and it is where intent decays. If your calendar regularly books more than a week out, shortening that gap will do more than any reminder copy.
What are the SMS reminder rules in the US, Australia and the UK?
In all three countries, a reminder that stays purely informational is treated more lightly than a marketing text. Add an offer to it and the marketing rules apply. General information only, not legal advice.
| Country | Rule that matters for reminders | Source |
|---|---|---|
| US | Under the TCPA rules, autodialed calls and texts to mobile numbers need the recipient’s prior express consent; texts that include advertising or telemarketing need prior express written consent. Replies such as stop, quit, end, revoke, opt out, cancel or unsubscribe revoke consent and must be honoured within a reasonable time not exceeding ten business days; one confirmation text is allowed and is presumed fine if sent within five minutes. The 8am–9pm local-time limit applies to telephone solicitations. Texts from a standard +1 10-digit number must be on an approved A2P 10DLC campaign or Twilio blocks them (error 30034). | 47 CFR 64.1200; Twilio error 30034 |
| Australia | Under the Spam Act 2003, a message consisting of no more than factual information plus sender identification can be a “designated commercial electronic message” (Schedule 1, clause 2): exempt from the consent and unsubscribe sections, still required to identify the sender. A sales-call reminder sits close to that line, so include an opt-out anyway; marketing texts need consent, sender details and an unsubscribe honoured within 5 working days. Branded sender IDs must be registered or show as ‘Unverified’ from 1 July 2026, and the ACMA notes alphanumeric headers generally cannot receive replies, so send reply-request texts from a number. | Spam Act 2003 (as made); ACMA: avoid sending spam; ACMA: sender IDs |
| UK | The ICO treats messages that “confirm or remind them about appointments” as service messages, not direct marketing under PECR, provided they contain nothing promotional. Branding and logos are fine; a promotion in the same text makes it direct marketing. | ICO: identify direct marketing |
For registration detail see our guides to A2P 10DLC registration (US) and SMS sender ID registration (Australia).
When should you hand reminders and reply handling to someone else?
Building the four texts takes an afternoon in any CRM. Running them is the hard part: the reply queue needs an owner within minutes, from early morning to late evening, because prospects reply when they read, not when you are at your desk. A done-for-you, pay-per-result service beats DIY when you book more calls a week than one person can watch replies for, when your bookings cluster in evenings and weekends, or when your no-show rate stays high after the sequence is installed and nobody can say which replies went unanswered.
Do it yourself if you hold fewer than about 20 calls a week, the person taking the calls can answer texts between them, and your show rate is holding. The texts above and a saved reply list will do the job.
The facts about LeadsNow, plainly: we book calls using AI calling, SMS and DM follow-up through our AI appointment setting service. You pay on results: a revenue share, a fee per appointment, or a mix of both. No-shows aren’t charged. There is no retainer, and you can cancel any time with 14 days notice.
SMS reminders and no-shows: frequently asked questions
How many reminder texts should I send before a sales call?
Four for a call booked one to seven days ahead: a confirmation at booking, a reply request the day before, the join link two hours out and a short “I’m on the call” text ten minutes before. Fewer when the call is booked inside 24 hours.
Do SMS reminders work better than phone call reminders?
About the same, at lower cost. In the Cochrane review three trials found text and phone reminders similarly effective (risk ratio 0.99), and two reported cost per attendance 55% and 65% lower for texts. That is healthcare evidence from 2013, not a sales study.
Should reminder texts ask people to reply?
One of them should: the day-before text. A yes is a commitment, a reschedule request is saved pipeline, and silence tells you which calls need a human touch before the slot. Only ask if someone will answer the replies within minutes.
Do I need consent to send appointment reminder texts?
It depends on the country and the content. In the US the TCPA requires prior express consent for autodialed texts to mobiles; in Australia a purely factual message can be exempt from the Spam Act consent rule but must identify the sender; in the UK the ICO treats appointment reminders as service messages if nothing is promoted.
Can I use emoji in reminder texts?
You can, but it costs reach and money. Any emoji switches the message to UCS-2 encoding, cutting a segment from 160 characters to 70, so a 140-character reminder is billed as 3 segments instead of 1.
