The best lead generation agency for an Australian HVAC company is the one that turns enquiries into booked in-home quote visits for installs, not just more phone calls for repairs. On our worked example, a $12,000 ducted install quoted at a 30% win rate can carry about $360 of acquisition cost per booked quote. We rank five agencies below against that test.
At a glance: five agencies Australian HVAC companies can actually hire
- #1 LeadsNow — AI calling, SMS and DM follow-up that books quote visits from your enquiries and old quotes; pay on results.
- #2 Local Digital — Google Ads and local search; publishes an ActronAir campaign with a $28.64 average cost per lead.
- #3 Web Tonic — full-service agency with dedicated HVAC marketing pages for Melbourne and Sydney.
- #4 Redback — web design, SEO and Google Ads; publishes a NewAge Air Conditioning & Heating (Newcastle) case study.
- #5 Smartyr Marketing (formerly Probity Web Marketing) — small-business SEO and search ads; lists All Purpose Air Conditioning as a client since June 2019.
Entities that matter on this page: split-system and ducted installs, service and maintenance agreements, commercial mechanical contracts, Google Business Profile and the map pack, Google Ads, the Australian Refrigeration Council (ARC) licence scheme, the Spam Act 2003 and the Do Not Call Register.
How it works
How an HVAC company turns enquiries into won installs
Set your quote ceiling
Multiply average install value by quote-to-win rate and acquisition share. That is the most one booked quote is worth.
Answer enquiries fast
Reply to every call and form within minutes, especially in heatwave weeks. Separate repair calls from install enquiries.
Book the quote visit
Qualify system type, property and timing, then book the in-home or on-site quote with reminders.
Follow up open quotes
Contact every unsigned quote several times over the following weeks. Re-contact last season’s quote list before the next peak.

How we chose and scored these HVAC lead generation agencies
Disclosure. LeadsNow, a pay-per-result AI lead generation and appointment-setting agency based in Melbourne, publishes this page and ranks itself #1. We rank ourselves first because our fee is tied to booked appointments rather than to media spend or a monthly service fee, and that is the test this page is built on. Judge the reasoning, not the position.
Method. Every other entry was checked on its own live website on 10 October 2026. To be listed, an agency had to show HVAC or air-conditioning work on its own site: a dedicated HVAC service page or a named air-conditioning client. Generic “we do tradies” agencies were left out. We scored on (1) HVAC evidence on the agency’s own site, (2) whether the agency measures booked jobs or quotes rather than clicks, (3) channels covered, and (4) whether pricing is published. We did not use review counts or star ratings. We had no commercial relationship with any agency listed.
Want this done for you? We book qualified sales appointments on a Pay-Per-Result basis — you only pay for calls that actually land in your calendar.
The Quote-Visit Ceiling: what one booked HVAC quote is worth
The Quote-Visit Ceiling is the most an HVAC company can pay to get one in-home or on-site quote booked: average install value × quote-to-win rate × acquisition share. The acquisition share is the slice of job revenue you are willing to spend winning the job; we use 10% below. Install values and win rates are assumptions for illustration, not market averages: ticket size varies hugely by system type, home size and brand, so plug in your own job book.
| Average install value (assumption) | Win rate 20% | Win rate 30% | Win rate 40% |
|---|---|---|---|
| $4,000 (single split system) | $80 | $120 | $160 |
| $12,000 (ducted, mid-size home) | $240 | $360 | $480 |
| $25,000 (multi-zone or light commercial) | $500 | $750 | $1,000 |
Worked example, middle cell: $12,000 × 0.30 × 0.10 = $360 per booked quote. Two things follow. First, a ducted-install business can afford roughly three times what a split-system installer can per quote, so the same agency can be a good buy for one and a loss for the other. Second, cost per lead is not cost per quote. Local Digital’s published ActronAir campaign ran at $28.64 average cost per lead across 176 leads; if one lead in three booked a quote (again, an assumption), that is about $86 per booked quote. Ask every agency to report the number in the right-hand columns, not the cheap one on the left.
How HVAC companies in Australia actually sell, and why it changes the agency choice
An HVAC company runs two different sales motions under one phone number. Breakdown and repair work is an emergency call: the customer searches, rings the first credible result on Google Maps, and books whoever answers. Installs and replacements are considered purchases: the customer gets two or three quotes, a technician or estimator visits, and the job is won or lost on the quote follow-up. Commercial mechanical work adds tenders and maintenance contracts. Demand is seasonal: the first heatwave fills the phones and a mild spring empties them.
That split decides the agency. Search and map-pack agencies are strongest at the emergency call. The install side leaks after the enquiry: quotes nobody follows up, web forms answered the next day, last summer’s quote list never re-contacted. If your phones already ring in December but your quote-to-win rate is weak, more traffic is the wrong purchase. Our speed-to-lead guide for trade businesses covers the missed-call gap, and how to reactivate dead quotes covers the list you already paid for.

The best lead generation agencies for HVAC companies in Australia (2026)
#1 — LeadsNow
Best for: HVAC companies with steady enquiry volume and a backlog of unconverted install quotes.
AI calling, SMS and DM follow-up contacts each new enquiry and each open quote, qualifies the job (system type, property, timing) and books the quote visit into your calendar with reminders. Since 2017 the system has booked 50,769+ AI-booked sales appointments and generated 1M+ leads across industries. Pricing is 5–25% of the revenue we generate for you (revenue share), or an equivalent pay-per-appointment fee, or a mix of both, depending on lead volume, what is being sold and its price, the type of business, and which part of the sales funnel we run. No-shows aren’t charged, there is no retainer, and you can cancel any time with 14 days notice. Detail on our trades page.
Where we lose: we publish no HVAC-specific case study, and we are not a 24/7 breakdown answering or dispatch service. If your problem is visibility in the map pack, start with #2 to #5.
#2 — Local Digital
Best for: HVAC firms that want paid search measured to cost per lead, with published numbers.
Local Digital sells Google Search, Google Ads, Google Maps, “AI Answers” and landing-page work. Its ActronAir case study describes a Google Ads campaign in Cairns and Townsville that produced 176 leads at a 15% landing-page conversion rate (form submissions and calls) and $28.64 average cost per lead, with enquiries handed to ActronAir’s local dealers. That is a manufacturer’s dealer campaign, so ask how the numbers translate to a single installer.
#3 — Web Tonic
Best for: larger HVAC and mechanical contractors in Melbourne or Sydney with a substantial marketing budget.
Web Tonic runs dedicated HVAC marketing pages for Melbourne and Sydney, offering local SEO, Google Ads and broader paid and organic channels, and pitches winning commercial mechanical contracts as well as residential work. Its enquiry form asks for monthly marketing budget in bands starting at “Under $15K”, which suggests where its typical client sits.
#4 — Redback
Best for: regional HVAC businesses that need a new website, SEO and Google Ads from one supplier.
Redback is a web and digital marketing agency whose NewAge Air case study covers a Newcastle heating and cooling business: website, SEO, Google Ads and lead-gen campaigns, with 53% search market share, 991 ranked keywords, a 49% traffic increase and a 4x improved conversion rate reported. The case study describes moving budget out of radio and TV into search and social ads.
#5 — Smartyr Marketing (formerly Probity Web Marketing)
Best for: owner-operated HVAC businesses that want SEO and search ads on published payment plans.
Probity Web Marketing has renamed itself Smartyr Marketing (“same team”). Its results page lists All Purpose Air Conditioning as a client since June 2019, alongside other trade clients, and its site carries payment-plan pages for SEO, search marketing, social and website work.

| Web Tonic | HVAC pages for Melbourne and Sydney | SEO, Google Ads, paid social, email/SMS | Not stated on pages we read | No (budget bands from under $15K a month on its form) |
| Redback | NewAge Air (Newcastle) case study | Web design, SEO, Google Ads, social ads | Not stated on pages we read | No |
| Smartyr Marketing | All Purpose Air Conditioning, client since June 2019 | SEO, search ads, social, web | Payment plans | Plan pages exist; we did not verify figures |
What an HVAC owner should ask a lead generation agency before signing
- “Will you report cost per booked quote, split by install and repair?” A blended cost per lead hides whether you are buying $300 repair calls or $12,000 install quotes.
- “What happens to my budget in a mild summer?” Ask how spend is throttled when demand drops and who wears the cost.
- “Who follows up open quotes, and how fast?” Most agencies stop at the enquiry. If nobody owns the quote follow-up, budget for that work yourself.
- “Whose ad account and Google Business Profile is it?” Keep ownership of both so leaving the agency does not reset your history.
- “Will your ads describe our licences and credentials accurately?” Refrigerant handling in Australia is licensed through ARCtick, the national licence scheme the Australian Government established in 2003; ad copy should not imply credentials your technicians do not hold.
Doing this yourself is realistic for a small installer: a CRM with automated SMS, a rule that every quote gets three follow-up touches over ten days, and a few hours a week of someone’s time. It stops being realistic when quote volume outgrows the office manager in peak season. Questions Australian HVAC companies ask about lead generation agencies
How much should an HVAC company pay for a booked quote?
Use the Quote-Visit Ceiling: average install value × quote-to-win rate × acquisition share. At $12,000, 30% and 10%, the ceiling is $360 per booked quote. Across industries, a booked sales call typically costs $30–$400+ depending on industry, offer, price and many other variables.
Can an agency SMS or email past HVAC customers about a service or upgrade?
Only with consent. The ACMA’s guidance on the Spam Act 2003 says you need consent before sending marketing messages, even if someone else sends them for you, and each message must identify you as the sender and make it easy to unsubscribe. This is general information, not legal advice.
Can an agency cold call homeowners for air-conditioning installs?
Telemarketing to Australian numbers must be checked against the Do Not Call Register, which lets businesses wash their call lists before calling. Following up people who enquired with you is a different situation from cold calling a bought list.
Is Google Ads or SEO better for an HVAC company?
For emergency repairs, being visible on Google Maps and search when the system breaks matters most. For installs, the deciding factor is usually quote follow-up after the enquiry arrives, which neither SEO nor Google Ads fixes on its own.
How is this list different from your trade businesses ranking?
That ranking covers builders, renovators and other high-ticket trades. This one only lists agencies that show HVAC or air-conditioning work on their own sites, and it prices a booked quote using HVAC install values.
