What is one admissions call worth? The Admissions Call Ceiling

The Admissions Call Ceiling is the most an Australian certification academy should pay, all-in, for one booked admissions call: ex-GST tuition × call-to-enrolment rate × acquisition share. Many Australian academies do not publish tuition (IECL asks you to email for prices), and no public benchmark exists for call-to-enrolment rates, so every input below is a stated assumption. Replace each with your own records.

Worked example: A$8,000 tuition excluding GST (assumption; IECL notes 10% GST applies to Australian purchasers, so strip it from a GST-inclusive price first). You decide to spend no more than 20% of tuition on winning the student. At a 25% call-to-enrolment rate, tuition per call = A$8,000 × 0.25 = A$2,000, and the ceiling = A$2,000 × 0.20 = A$400 per booked admissions call.

Formerly Social Garden, an integrated agency with teams in Melbourne, Sydney and Auckland. Its education page describes “a call centre that qualifies at scale” and campaigns planned to intake calendars. It claims Endeavour College “converted 58% of applications to enrolments” and that Builders Academy re-engaged withdrawn leads for “a 500% increase in registrations from that segment”. Pricing is by request, not published.

#3 — SearchMax

Best for: academies whose students search for the course on Google and that want SEO and paid search run for them.

A Google Premier Partner with offices in Melbourne and Brisbane. Its education marketing page lists “Industry Certification Providers” among the providers it works with, alongside RTOs, TAFEs and tutoring brands, and says it writes ad copy “compliant with ASQA guidelines”. It reports a 73% increase in bookings for Melbourne City Institute of Education (its claim). Pricing is not published.

#4 — RTO Acceleration

Best for: RTOs delivering nationally recognised certificates that want ads, landing pages and automated follow-up from one flat-fee team.

A Brisbane agency that says it works “exclusively with education and training providers”. Its home page describes Google and Meta campaigns, course landing pages, email and SMS automation with AI-powered follow-up, and a weekly sync with your sales team. It charges “a flat monthly fee with no lock-in contracts”; the amount is not published. Its FAQ is written for providers of nationally recognised training, so a non-accredited academy should ask whether it takes that work.

What to ask an agency before you sign, as an Australian certification academy

A certification sale runs from enquiry to admissions call to deposit, against a fixed intake date. Ask these six questions and get the answers in writing:

  1. Which of my courses are nationally recognised? The agency should be able to say, course by course, where your RTO code goes and where the Nationally Recognised Training logo must not appear.
  2. What makes an admissions call qualified? A named intake, a stated way to pay, and a start inside the next intake, not “interested in coaching”.
  3. What happens three weeks before an intake? Late enquiries are harder to start. Ask whether the agency rolls them to the next intake with a deposit or keeps booking calls that cannot close.
  4. Who owns the call? Your admissions team, or a closer the agency supplies? If the agency runs it, you are buying a sales team, not leads.
  5. How do you check consent? Most enquirers give a personal mobile. Ask how the agency handles the Do Not Call Register and Spam Act consent for every number and address.
  6. Does the fee apply to deferred, refunded or corporate-paid enrolments? Agree it before the first booking, and whether price is measured with or without GST.

How much should a certification academy pay for one booked admissions call?

No more than the Admissions Call Ceiling: ex-GST tuition × your call-to-enrolment rate × the share of tuition you will spend to win a student. With illustrative inputs of A$8,000 tuition, a 25% enrolment rate and a 20% acquisition share, that is A$400. At a 15% enrolment rate it falls to A$240. Use your own tuition and rates.

Can an agency recruit students on behalf of my RTO?

Yes, with conditions. ASQA’s Information and Transparency Practice Guide says ads by an RTO or a third party must include the RTO’s registration code (or a link to it on the National Register), distinguish training that leads to AQF certification from other training, and identify services delivered by a third party, including recruiting prospective students.

Can I call people who downloaded my course guide?

Check the Do Not Call Register first. The ACMA says personal mobiles can be registered, and once a number has been on the register for 30 days telemarketers can only call it with consent or under an exemption. A course-guide form that records consent to call is the clearest evidence you can hold.

Do I need consent to email past enquirers about a new intake?

Yes. The ACMA’s Spam Act guidance says you need consent from each person who receives a marketing message, must identify yourself as the sender, and must make it easy to unsubscribe. Consent can be express or, in limited cases, inferred from an existing relationship.
