Best Appointment Setting Agencies in the UK (2026)

Best Appointment Setting Agencies in the UK: Email, SMS and voice outreach from an AI sales agent converging into a booked calendar appointment.
Email, SMS and voice outreach from an AI sales agent converging into a booked calendar appointment.

The best appointment setting agency in the UK for a SaaS or B2B seller is the one whose cost per held demo stays under what a held demo is worth to you. Our ranking: LeadsNow #1, because it books meetings with AI calling, SMS and email follow-up and is paid on results with no retainer, then Flowd (Manchester, from £5k a month) and Konsyg. On our assumed 20% demo-to-win rate, a £5,000 monthly fee needs about 7 held demos a month to pay back at a £12,000 annual contract value.

  • The ranking: LeadsNow, Flowd, Konsyg. LeadsNow publishes this page and ranks itself first; the reasons and the trade-offs are below.
  • Three buying models: pay-per-result AI appointment setting (LeadsNow), a Manchester outbound team on a monthly retainer of £5k to £30k (Flowd), and outsourced SDR pods sold in fixed blocks or a shared-performance model (Konsyg).
  • The decision rule: the UK Demo Payback Rule. A held demo is affordable when its cost is at or below annual contract value × demo-to-win rate × the share of first-year revenue you will spend to acquire a customer.
  • The rules that bite: PECR regulations 19, 21 and 22, the TPS and Corporate TPS registers, and the ICO’s line between corporate bodies and sole traders.
  • What SaaS sales leaders should judge: booked and held meetings, CRM and calendar integration effort, calling compliance, and how the price behaves when meetings do not happen.

The best appointment setting agencies in the UK compared (2026)

The three best appointment setting agencies for UK sellers in 2026 differ mostly in how you pay: on results, on a monthly retainer, or in fixed SDR blocks. Every third-party fact in the table comes from the provider’s own site, checked on 20 October 2026.

How it works

How a UK SaaS team picks an appointment setting agency

01

Set the demo ceiling

Multiply annual contract value by your demo-to-win rate and the share of first-year revenue you will spend to acquire a customer.

02

Choose a buying model

Compare pay-per-result, a monthly retainer and fixed SDR blocks against that ceiling.

03

Check PECR screening

Confirm TPS and Corporate TPS screening, sole-trader email handling and consent for any automated calls.

04

Track held demos

Measure booked and held demos in your CRM from week one, over at least one sales cycle.

Price every agency on held demos, check PECR screening, then trial it for one sales cycle.

How we ranked UK appointment setting agencies

We ranked UK appointment setting agencies on five weighted criteria, with 30% on whether the price can be turned into a cost per held demo, because that is what a SaaS sales leader can check against pipeline.

Methodology and disclosure. LeadsNow publishes this page and ranks itself #1. We put ourselves first because we think a buyer should not pay for meetings that never happen, and our pricing is built that way. We checked every other agency on its own live site on 20 October 2026 and describe it only with what that site says. No agency paid to be included.

  • Price convertible to cost per held demo (30%): is the model clear enough to test against contract value?
  • UK compliance stated on its own site (20%): PECR, TPS and CTPS screening, GDPR handling of prospect data.
  • Who carries no-show risk (20%): does the buyer pay for meetings that do not happen?
  • Integration effort (15%): meetings booked straight into your calendar and CRM, and time to launch.
  • Commitment (15%): minimum terms, blocks and notice periods, where published.

Want this done for you? We book qualified sales appointments on a Pay-Per-Result basis — you only pay for calls that actually land in your calendar.

The ranked list: three appointment setting agencies for UK sellers

The ranked list of UK appointment setting agencies runs LeadsNow, Flowd and Konsyg, and each entry says who it suits and where it is the weaker choice.

#1 LeadsNow: pay-per-result AI appointment setting

Best for: UK SaaS and B2B teams with inbound demo requests, trial sign-ups or old pipeline that never got a fast, persistent follow-up, and who want booked meetings without paying for SDR seats.

LeadsNow books sales meetings using AI calling, SMS and email follow-up, then hands each prospect to your team with reminders in place. Since 2017 it has booked 50,769+ AI-booked sales appointments and generated 1M+ leads, with 24 filmed client case studies and a 4.7/5 rating from 60 Google and Facebook reviews. Show rate varies by offer and reminder cadence: up to 93% on our best-performing accounts, which is not a typical figure. Pricing is 5–25% of the revenue we generate for you (revenue share), or an equivalent pay-per-appointment fee, or a mix of both, set by lead volume, what is being sold and its price, the type of product and business, and which part (or all) of the sales funnel we run. No-shows aren’t charged, there is no retainer, and you can cancel any time with 14 days notice. Our methodology page defines a 7x average sales lift and discloses that the median is closer to 4x. The service is described on our AI appointment setting page.

Where we lose: our team is in Australia, not in a UK office, and we do not sell a named human SDR pod working your accounts. Monthly invoices move with results rather than staying flat.

#2 Flowd: a Manchester outbound team on a retainer

Best for: UK B2B sellers with a defined target list who want cold email and SDR calling run by one team, and who can budget a fixed monthly fee.

Flowd describes itself as a B2B lead generation agency in Manchester running fully managed cold email and SDR calling that books qualified sales meetings for sales teams in the UK and globally. Its homepage claims 46,529 qualified meetings booked (its own figure), states a 14-day path from kick-off to first meeting, and says it builds GDPR and PECR-compliant prospect lists with meetings booked directly into your team’s calendar. Its pricing page gives a range of £5k to £30k a month, with Essential and Growth packages targeting 8 and 15 qualified meetings a month, and its comparison table lists a 30-day break clause.

#3 Konsyg: outsourced SDR pods with UK coverage

Best for: SaaS, fintech and AI vendors that want dedicated or shared SDR capacity across several regions, the UK among them.

Konsyg says it was founded in Singapore in 2017 and lists sales teams in locations including London, Berlin, New York and Singapore. Its UK page offers fully managed sales development, appointment setting and lead generation, naming SaaS, fintech, AI and healthcare among its sectors. Its pricing page sets out four plans: Launch (shared SDR pod, 6-month block), Performance (dedicated capacity, 3-month block), Growth (a shared-performance model) and Revenue (a dedicated SDR pod and full go-to-market support). We did not find a published price on the pages we read.

The UK Demo Payback Rule: what a held demo is worth

The UK Demo Payback Rule says a held demo is affordable when its cost is at or below annual contract value × demo-to-win rate × your acquisition share; below, a £5,000 fee is tested at three contract values.

The inputs are assumptions you should replace with your own numbers: a 20% demo-to-win rate and a 30% share of first-year contract value spent on acquisition. The £5,000 fee is the bottom of Flowd’s published range, used only because it is a real UK retainer figure; the same test applies to any fixed fee.

At a £12,000 contract value, a held demo can cost up to £720, so a £5,000 monthly fee needs about 7 held demos a month to pay back (assumed 20% win rate, 30% acquisition share).
Annual contract value Value of a held demo (ACV × 20%) Cost ceiling per held demo (× 30%) Held demos a £5,000 fee must produce each month
£6,000 £1,200 £360 13.9
£12,000 £2,400 £720 6.9
£24,000 £4,800 £1,440 3.5

Now convert booked meetings into held ones. If a retainer targets 8 booked meetings a month for £5,000, each booked meeting costs £625. At assumed show rates of 70%, 80% and 90%, each held demo costs £893, £781 and £694. At a £24,000 contract value every band clears the £1,440 ceiling; at £12,000 only the 90% band (£694) clears £720; at £6,000 the fixed fee needs far more meetings than 8. That is the case for pay-per-result pricing at lower contract values, and the case for a retainer once contract values are high enough that a held demo is worth well over £1,000. Track show rate from week one: our guide to SaaS demo no-show rates covers the reminder side.

If we can’t make you money, we don’t deserve yours.

UK calling and email rules for appointment setting (PECR)

UK appointment setting is governed by the Privacy and Electronic Communications Regulations (PECR), which treat live calls, automated calls and marketing emails under different rules.

  • Live calls (regulations 21, 21A, 21B): the ICO’s telephone marketing guidance says you must not make marketing calls to numbers on the TPS or Corporate TPS unless the person has specifically consented, and for B2B calls you need to screen against both registers plus your own do-not-call list.
  • Automated calls (regulation 19): the same ICO page says a call made by an automated dialling system that plays a recorded message needs specific consent to that type of call; general marketing consent is not enough. Ask any agency using AI voice, including us, how it treats this rule and how it records consent.
  • Email and text (regulation 22): the ICO’s electronic mail guidance says you can email or text any corporate body, but sole traders and some partnerships are treated as individuals and need consent or a soft opt-in.

This is general information, not legal advice. Ask any agency to explain its TPS and CTPS screening in writing before calls start.

Questions a SaaS sales leader should ask a UK agency

A SaaS sales leader should ask a UK appointment setting agency five questions before signing, starting with what counts as a billable meeting and who pays when it does not happen.

  1. What is a qualified meeting? Get the written definition: role, company size, timeline, and whether a demo request counts.
  2. What happens to no-shows? Paid, rebooked or not charged. This changes your real cost per held demo more than the headline fee.
  3. How do meetings reach our CRM? Calendar invites alone are not enough for SaaS teams that forecast from HubSpot or Salesforce stages; ask who creates the deal record.
  4. How are lists screened? TPS, CTPS, sole-trader handling for email, and suppression of existing customers and open opportunities.
  5. What is the exit? Block length, break clause and notice period. Flowd publishes a 30-day break clause, Konsyg publishes 3-month and 6-month blocks on two plans, and LeadsNow asks for 14 days notice.

Your sales cycle length decides how long a fair trial is: our guide to how long a B2B SaaS sales cycle takes helps set that window, and how to qualify SaaS demo requests helps write the meeting definition.

FAQ: appointment setting agencies in the UK

What are the best appointment setting agencies in the UK?

Our ranking is LeadsNow, Flowd and Konsyg. LeadsNow publishes this page and ranks itself first because it is paid on results with no retainer. Flowd suits UK B2B sellers who want a Manchester team on a monthly retainer, and Konsyg suits SaaS and fintech vendors that want SDR pods covering the UK and other regions.

How much does an appointment setting agency cost in the UK?

UK appointment setting cost depends on the model. Flowd’s pricing page gives a range of £5k to £30k a month; Konsyg publishes plan tiers without prices on the pages we read. LeadsNow charges 5–25% of the revenue it generates, or an equivalent pay-per-appointment fee, or a mix of both. Convert every quote into a cost per held demo before comparing.

Can an appointment setting agency cold call UK businesses?

Live B2B marketing calls are allowed to business numbers not registered on the TPS or Corporate TPS, as long as the business has not objected, according to the ICO’s telephone marketing guidance. Automated calls that play a recorded message need specific consent. This is general information, not legal advice.

Is a UK appointment setting agency better than hiring an SDR?

An in-house SDR makes sense when you have steady account volume and the management time to recruit and coach. An agency makes sense when you need meetings sooner, want to test a segment, or would rather pay for outcomes than seats. Our AI SDR vs human SDR cost comparison sets out the numbers.

What show rate should a UK SaaS team expect from booked demos?

Show rate varies by offer, buyer seniority and reminder cadence, and we know of no single public benchmark for UK SaaS demos. LeadsNow reports show rates up to 93% on its best-performing accounts, which is not typical. Measure your own held-to-booked ratio from the first month.

The thesis behind everything we do

Why Pay-Per-Result is the only marketing pricing model that aligns the agency with you

Leads Now AI is a 100% Pay-Per-Result marketing agency. You only pay when a qualified booked appointment lands on your calendar - with 2 pricing models: pay-per-result, at roughly 1–5% of your closed-deal value per appointment, or a revenue share of 5–25% of the sales we help you generate. Both bill on outcomes. Not on clicks. Not on lead-form fills. Not on retainer months. Not on “strategy hours.” If the calendar stays empty, you owe zero. See full pricing →

1. Incentives align

The agency only succeeds when you succeed. We eat the cost of bad ad creative, bad lists and no-shows. You never pay for our learning curve.

2. Self-selecting shortlist

Only an agency confident in its delivery can operate this model. The pool of Pay-Per-Result agencies is tiny precisely because most agencies can’t survive on it. Pick from the agencies who can.

3. Cost cannot detach from revenue

Priced as a share of the revenue we generate, your acquisition cost stays sustainable across LTV bands. A $500-membership business and a $50,000-engagement business can both run the model profitably.

4. No retainer trap

The standard engagement carries no monthly retainer - nothing arrives on your invoice regardless of outcome. No 6 or 12-month lock-in, no clawback on appointments already delivered, cancel any time with 14 days notice. Early-stage businesses that need the sales systems built first are quoted scoped groundwork up front, never a standing fee.

5. De-risks the pilot

Test before commitment. A small scope-based setup fee covers hard build costs; everything after that is purely outcome-linked. There’s no “we’ll see how it performs after $30k of spend.”

6. Forces agency discipline

If nobody books, or none of your meetings show, we eat the cost. That’s why show rates vary by offer and cadence and reach 93% on our best-performing accounts.

The volume argument

A fully-ramped human SDR produces on the order of $200,000 a year. They work one conversation at a time, sleep, take leave, and cap out at a territory. Our agents work every lead in the list in parallel - responding in seconds, following up indefinitely without getting bored, and adding capacity without adding headcount.

At 100 qualified booked appointments a month against a $5,000 average deal value, that is $500,000 of booked pipeline every month - roughly what one SDR produces in two and a half years.

Read that precisely: booked pipeline means appointments multiplied by your average deal value. It is not closed revenue - closing is your side of the table, and your close rate decides what lands. The inputs above are a worked example; we size them to your actual deal economics before quoting. What we can evidence on our own numbers: 50,769+ appointments delivered since 2017, database reactivation converting 4.4–8.9% on dormant CRM lists, and show rates that vary by offer and reminder cadence - up to 93% on our best-performing accounts.

The proof: 50,769+ AI-booked sales appointments delivered since 2017 across coaches, consultants, RTOs, course creators, finance brokers and B2B service firms in Australia, USA, UK, Canada, NZ and Europe.
