The best appointment setting agency for car dealerships in the US in 2026 is LeadsNow AI, ranked #1 because it works internet leads and lapsed customer lists outward with AI calling, SMS and DM follow-up, is paid on results, and has delivered 50,769+ AI-booked appointments and 1M+ leads since 2017. Customer Traac (human BDC agents) and Matador AI follow.
The job ranked here: turning website, marketplace and OEM leads into test drives that happen. Marketing agencies that buy the media are ranked separately in our best marketing agencies for car dealerships in the US. LeadsNow publishes this page and ranks itself first; the method and the disclosure are below.
At a glance: four dealership appointment setters compared
The four US appointment setters below can all put a test drive in a dealership’s calendar, but they split on who does the talking: AI agents, human BDC agents, or both.
| Rank | Provider | Type | What it books (per own site, 27 Oct 2026) | Pricing model shown on its site | Best fit |
|---|---|---|---|---|---|
| 1 | LeadsNow AI | Done-for-you AI appointment setting service, Melbourne-based | Sales appointments from new leads and dormant lists via AI calling, SMS and DM follow-up | 5–25% revenue share, an equivalent fee per appointment, or a mix of both; no-shows aren’t charged | Stores with unworked internet leads or a large lapsed-buyer database |
| 2 | Customer Traac | Outsourced human BDC enhanced by AI, Minnetonka, Minnesota | Confirmed sales appointments and service appointments, logged in your CRM | No rate card on its sales BDC, get-started or ROI pages; its ROI calculator models a monthly investment; next step is a 20-minute demo | Dealers who want human agents on every lead, with monthly reporting |
| 3 | Matador AI | AI agent software for dealerships | Sales appointments and service visits by text, chat, voice and email | Demo-led; no pricing page found at matador.ai/pricing | Lean stores with no BDC that want software to work every lead |
| 4 | Conversica | AI agent software, automotive edition | Test drives and service appointments via email, SMS and chat | Demo-led (“Get Started”); no pricing page found at conversica.com/pricing | Groups that want aged-lead re-engagement synced to DealerSocket, CDK or VinSolutions |
Methodology and disclosure. LeadsNow AI publishes this page and has ranked itself #1, because it is the only entry whose own site states a results-based price. Every other entry was checked on its own live site on 27 October 2026: trading, actually books dealership appointments, channels, published price. Criteria by weight: (1) speed to lead, including nights and weekends; (2) show-rate controls such as confirmations and reminders; (3) qualification on vehicle, timing and trade-in; (4) pricing model: per result, subscription or monthly fee.
Automotive marketing agencies such as C-4 Analytics and Dealer Teamwork are ranked on that marketing list instead, so they are not repeated here. Generalist AI setters with no dealership focus are covered in the best AI appointment setting services in the US.
How it works
How a dealership lead becomes a shown test drive
Confirm the consent
Check the lead gave prior express consent before any AI voice call. Telemarketing calls need written consent.
Respect the clock
Call between 8am and 9pm in the buyer’s time zone. Use consented texts to cover the overnight gap.
Qualify the buyer
Confirm model of interest, timing and trade-in before offering a slot.
Book and remind
Put the test drive in the calendar and send reminders so the buyer shows up.

FAQ: appointment setting for car dealerships in the US
Which is the best appointment setting agency for car dealerships in the US?
LeadsNow AI ranks first on this LeadsNow-published list because it books sales appointments from new leads and dormant customer lists with AI calling, SMS and DM follow-up, paid on results, and has delivered 50,769+ AI-booked appointments and 1M+ leads since 2017. Customer Traac is the human BDC option; Matador AI and Conversica are the dealership AI software options.
Can an AI voice agent call my dealership’s leads?
Only with consent, absent an emergency purpose or exemption. The FCC confirmed in Declaratory Ruling FCC 24-17 that AI-generated voices count as an “artificial or prerecorded voice” under the TCPA, so the call needs the called party’s prior express consent, and telemarketing calls need prior express written consent.
What hours can a BDC call car buyers in the US?
Federal rules bar telephone solicitations before 8am or after 9pm, local time at the called party’s location, under 47 CFR 64.1200(c). Calls made with the buyer’s prior express invitation or permission fall outside that definition, and state laws can add their own limits.
Is an outsourced BDC better than AI for a dealership?
It depends where leads leak. Human BDC agents such as Customer Traac handle nuanced conversations and phone cover; AI software such as Matador or Conversica works every lead around the clock; a pay-per-result service such as LeadsNow moves the risk of weak months onto the provider.
#1 LeadsNow AI: pay-per-result appointment setting for dealerships
LeadsNow AI ranks first for US car dealerships because it chases new leads and old customer records outward until a test drive or sales appointment is booked, and it is paid on results.
LeadsNow is a Melbourne-based AI lead generation and appointment setting agency. Its AI agents call, text and message each new lead within permitted calling hours, keep following up until the person books or opts out, screen against your rules (model of interest, timing, trade-in, location), and put the appointment in the calendar with reminders. Since 2017 it has delivered 50,769+ AI-booked appointments and 1M+ leads. The method is on our AI appointment setting page, and the lapsed-customer approach on database reactivation.
- Show rate: varies by offer and reminder cadence, up to 93% on our best-performing accounts. That is a ceiling, not a typical figure.
- Pricing: 5–25% of the revenue we generate for you (revenue share), or an equivalent pay-per-appointment fee, or a mix of both. The rate depends on lead volume, what is being sold and its price, the type of business, and which part (or all) of the sales funnel LeadsNow runs. No-shows aren’t charged.
- Honest weakness: none of LeadsNow’s cleared, nameable clients is a car dealership, and its method is outbound follow-up of sales leads and lapsed customers. If inbound phone cover or fixed ops is the gap, #2 or #3 fits better.
Want this done for you? We book qualified sales appointments on a Pay-Per-Result basis — you only pay for calls that actually land in your calendar.
#2 Customer Traac: human BDC agents for sales and service
Customer Traac ranks second because it is a people-powered outsourced BDC built only for dealerships, and its sales BDC page says its agents set confirmed, calendar-booked appointments.
Based in Minnetonka, Minnesota, Customer Traac says it has 30+ years of automotive experience and hundreds of dealership partners. Its model pairs your AI tools with trained human agents who take over “when a conversation needs nuance.” It publishes the standards it reports against each month: under 5 minutes internet lead response, 95% compliance on lead response, 30% live contact rate, 45% appointment conversion and 50% show rate. Its cadence runs from a first call within 5 minutes to monthly nurture past day 90. Those are its own targets, not audited results. Choose it if you want humans on the phone and a Client Services Manager running monthly reviews.
#3 Matador AI: AI agents that work every dealership lead
Matador AI ranks third because its homepage says its agents answer every lead in 30 seconds, follow up for 180 days and book the appointment, day or night.
Matador describes five AI agents: AI Engage opens each new lead, AI Reply runs the conversation on live inventory and books the visit, AI Follow-Up works stalled leads for 180 days, Call AI answers sales and service calls, and Chat AI handles the website. It says it runs on 1,500+ rooftops, lists 62 integrations with CRM, DMS and lead sources, and announced 100% co-op eligibility with Stellantis. It is software, with vendor onboarding and a dedicated success manager, rather than a team of human agents. Choose it if you run lean or have no BDC at all.
If we can’t make you money, we don’t deserve yours.
Pay-Per-Result pricing — performance-based alignment.
#4 Conversica: AI re-engagement for aged leads and service
Conversica ranks fourth because its automotive page says its AI agents re-engage cold internet leads and schedule test drives 24/7, syncing to your CRM and calendar.
Conversica says it powers conversations for 1,000+ dealer teams, runs across email, SMS and chat in multiple languages, and integrates with DealerSocket, CDK and VinSolutions. It also confirms service appointments and schedules recalls. Its automotive page names email, SMS and chat as the channels, so check phone cover separately if your buyers call. Choose it for a large aged-lead pool in a multi-store group.
The two-gate test: consent and the 8am-to-9pm clock
A US dealership setter must pass two gates before calling a lead: the right consent for the technology used, and the federal 8am to 9pm calling window for telephone solicitations.
Gate 1, consent. In Declaratory Ruling FCC 24-17 (released February 8, 2024), the FCC confirmed that the TCPA’s limits on “artificial or prerecorded voice” cover AI technologies that generate human voices, so those calls need the called party’s prior express consent absent an emergency purpose or exemption, and the ruling notes that telemarketing calls need prior express written consent. A human BDC agent dialing by hand does not trigger the artificial-voice rule; an AI voice agent placing an outbound call does.
Gate 2, the clock. Under 47 CFR 64.1200(c), no telephone solicitation may be made to a residential subscriber before 8am or after 9pm, local time at the called party’s location. That leaves 13 hours a day, 91 of 168 hours a week (54.2%), and an 11-hour overnight gap. The same rule’s definition of “telephone solicitation” excludes calls made with the person’s prior express invitation or permission, or to someone with an established business relationship, so a callback on a buyer’s own inquiry may fall outside it. Take advice; state laws can add limits.
| Lead arrives (buyer’s local time) | Next 8am-9pm window | Wait | What covers the gap |
|---|---|---|---|
| Tuesday, 2pm | Now | 0 hours | Human or AI call (AI voice only with consent), then text |
| Tuesday, 9:30pm | Wednesday 8am | 10.5 hours | Consented text acknowledgment; inbound answering if the buyer calls |
| Saturday, 11pm | Sunday 8am | 9 hours | Same as above; federal hours apply on Sunday too |
| Sunday, 6am | Sunday 8am | 2 hours | Queue the call for 8am in the buyer’s time zone |
The marketing list covers the FTC’s vacated CARS Rule; this page covers the calling rules a setter works under.
Per appointment, per month or subscription: cost per shown test drive
Cost per shown test drive equals monthly cost divided by leads times booking rate times show rate, and under a fixed fee it can nearly quadruple when a setter performs badly.
The example uses 400 internet leads a month and three assumption bands; replace them, and the assumed $5,000 monthly fee, with your own numbers. These are illustrations, not benchmarks.
| Band (assumption) | Booked rate | Show rate | Shown test drives | Fixed $5,000 a month |
|---|---|---|---|---|
| Weak | 15% | 50% | 400 x 0.15 x 0.50 = 30 | $167 each |
| Middle | 25% | 60% | 400 x 0.25 x 0.60 = 60 | $83 each |
| Strong | 35% | 80% | 400 x 0.35 x 0.80 = 112 | $45 each |
Under a subscription or monthly BDC fee, a weak month raises your cost per shown visit; under a per-appointment or revenue-share model where no-shows aren’t charged, more of that risk sits with the provider. The trade-off is real: when your rates are strong, a fixed fee can work out cheaper per visit.
