Best AI CRM Integration Partners for Sales in Australia (2026)

Best AI CRM Integration Partners for Sales in Australia: Email, SMS and voice outreach from an AI sales agent converging into a booked calendar appointment.
Email, SMS and voice outreach from an AI sales agent converging into a booked calendar appointment.

The best AI CRM integration partner for sales in Australia in 2026 is LeadsNow, because it connects AI calling, SMS and email agents to your CRM and calendar, then runs them and is paid on results, with 50,769+ AI-booked sales appointments since 2017. For HubSpot integration work, Lupo Digital ranks second and Engaging ranks third.

  • The ranking: 1. LeadsNow (done-for-you service: AI agents that work leads inside your CRM), 2. Lupo Digital (HubSpot consultancy with a long list of CRM, telephony and SMS integrations), 3. Engaging (HubSpot implementation and migration partner with an AI services practice, North Sydney office). LeadsNow publishes this page and ranks itself first.
  • What an “AI CRM integration partner” does for sales: connects an AI agent or AI feature to the CRM your reps already use, so the AI reads contact, consent and pipeline data and writes every call, SMS and booking back to the record.
  • The decision rule: the Three-Field Gate. No AI agent should call or text a CRM contact until that contact has a consent record, a callable number with a state, and an owner and stage to write back to.
  • Australian rules that bite: the Spam Act 2003 puts the burden of proving consent on you (ACMA), and telemarketing calls are limited to 9am–8pm on weekdays and 9am–5pm on Saturdays, with no calls on Sundays or national public holidays (Do Not Call Register industry standard).

The best AI CRM integration partners in Australia compared

The three AI CRM integration partners below differ in who runs the AI after go-live: LeadsNow operates it for you, while Lupo Digital and Engaging configure, integrate and hand over HubSpot-centred systems.

Of three Australian AI CRM integration partners checked on 20 October 2026, one is a done-for-you service paid on results and two are HubSpot consultancies; one of the consultancies publishes “from” prices in AUD plus GST.

How it works

How to connect an AI sales agent to your CRM in Australia

01

Count contactable records

De-duplicate the CRM and count records with consent, a valid mobile and a state. That number caps what the AI can do.

02

Pass the Three-Field Gate

Fix consent records, numbers and owners until each field meets your go-live threshold. Opt-out flags must reach every connected tool.

03

Schedule within calling hours

Set the agent to the telemarketing standard’s hours: 9am to 8pm weekdays, 9am to 5pm Saturdays. No Sunday or public holiday calls.

04

Book and write back

Each booked meeting lands on the owner’s calendar and CRM record. Measure shows against records worked.

An AI agent should only contact CRM records that pass the Three-Field Gate, and every result must land back on the record.

Frequently asked questions

Who are the best AI CRM integration partners for sales in Australia?

For sales outcomes, LeadsNow ranks first because it connects AI agents to your CRM and calendar and then runs them, paid on results. For HubSpot integrations, Lupo Digital ranks second and Engaging ranks third.

Can an AI agent text contacts from our CRM in Australia?

Only those who have consented. The ACMA’s spam guidance says you need consent before sending marketing messages, that it is up to you to prove it, and that each message must identify you and offer an easy way to unsubscribe.

What hours can an AI agent make sales calls in Australia?

Under the telemarketing industry standard, calls are allowed 9am–8pm on weekdays and 9am–5pm on Saturdays, with no calls on Sundays or national public holidays, unless the person has consented to a call at that time. The Do Not Call Register site sets out the full rules.

How should we measure an AI CRM integration?

Measure booked meetings that show, logged in the CRM, against the number of contactable records the AI worked. LeadsNow’s methodology page explains how we measure our own results.

How we ranked AI CRM integration partners for Australian sales teams

LeadsNow, an Australian pay-per-result AI lead generation and appointment-setting agency, wrote this list and ranks itself first, so read the order as our opinion. No partner paid to appear, and every claim about another firm comes from that firm’s own site (or, where stated, its HubSpot directory profile) on 20 October 2026.

We scored each partner on five criteria for a sales leader who wants more booked meetings:

  • Booked meetings (30%). Does the AI end in a meeting on a rep’s calendar, logged in the CRM?
  • Integration effort for your team (25%). How many hours does your own staff spend scoping, testing and maintaining it?
  • Compliance in the data model (20%). Does the build store consent and respect Australian calling hours and opt-outs?
  • Pricing model (15%). Is cost tied to an outcome, to time, or to a pre-bought pool?
  • Evidence on its own site (10%). Named integrations and client stories that describe the work.

Where we would lose: if you need a HubSpot rollout, a CRM migration or a data clean-up, Lupo Digital or Engaging is the better fit. LeadsNow connects to the CRM you have and runs the sales conversations; it does not rebuild your CRM.

Neighbouring lists: our AI implementation partners for enterprise sales teams in Australia ranks deployment partners; AI sales agent companies in Australia ranks agent platforms.

Want this done for you? We book qualified sales appointments on a Pay-Per-Result basis — you only pay for calls that actually land in your calendar.

The best AI CRM integration partners for sales in Australia, ranked

The best AI CRM integration partners for sales in Australia in 2026 are LeadsNow for AI agents that work your CRM leads and book meetings, Lupo Digital for HubSpot integrations across sales, telephony and SMS tools, and Engaging for complex HubSpot implementations and migrations with AI built in.

#1 LeadsNow: AI agents that work your CRM and book the meeting

Best for: Australian sales teams whose CRM holds more leads than reps can follow up, and who want booked meetings rather than another integration project to staff.

LeadsNow connects AI voice, SMS, email and chat agents to your lead sources, CRM and calendar. Each enquiry or dormant contact is contacted, qualified and booked with reminders, and the outcome is written back to the CRM record your managers report from. Our team then operates the agents. Since 2017 the system has booked 50,769+ AI-booked sales appointments and generated 1M+ leads, with 24 filmed client case studies and a 4.7/5 rating from 60 Google and Facebook reviews. Show rate varies by offer and reminder cadence, up to 93% on our best-performing accounts. Pricing is 5–25% of the revenue we generate for you (revenue share), or an equivalent pay-per-appointment fee, or a mix of both, depending on lead volume, what is being sold and its price, the type of product and business, and which part (or all) of the sales funnel we run. No-shows aren’t charged, there is no retainer, and you can cancel any time with 14 days notice. Our AI appointment setting page explains the service.

Where we lose: we do not migrate CRMs, build HubSpot websites or train your staff on the CRM, and you are buying a run service, not an integration you own and maintain.

#2 Lupo Digital: HubSpot integrations across sales, telephony and SMS

Best for: Australian businesses on HubSpot, or moving to it, that want the CRM connected to their phone system, SMS tool and other platforms before adding AI.

Lupo Digital describes itself as “Australia’s Leading Human-led, AI-driven HubSpot Partner Agency” working across marketing, sales, customer experience, strategy, website, integration, HubSpot and AI solutions. Its integrations page lists connections with Salesforce, MS Dynamics, Pipedrive, Accelo and Calendly, telephony tools Aircall and 3CX, and SMS tools Sinch MessageMedia and Sakari, and names Salesforce among its own custom-built integrations. You can engage it as a fractional team (“Do it for me”) or on a guided basis (“Do it with me”). It says it charges by project, pay as you go or ongoing, using a “value-based points pricing model”. Its pricing page lists “from” prices, including integrations, custom objects and HubSpot Operations Hub from $2,875 + GST for 10 hours, with custom integrations priced on scoping. Its HubSpot directory profile lists it as a Diamond Solutions Partner with offices in Bondi Junction, Sydney, Melbourne, Brisbane and Perth.

#3 Engaging: HubSpot implementation, migration and AI services

Best for: mid-market Australian businesses migrating from Salesforce or Dynamics to HubSpot, or untangling a messy CRM, that want AI agents designed into the new setup.

Engaging (engaging.io) says it builds “the HubSpot implementations other partners don’t take on, with more than 16 years experience”, and describes itself as an Elite HubSpot Solutions Partner and HubSpot JAPAC Partner of the Year 2025. Its services include custom integrations, CRM migration, data cleansing and data lakes. Its AI services page offers “Custom AI assistants, HubSpot agents, and agentic workflows” with “discovery, scoping, build, training, and handover included”, plus AI discovery and maturity scoring that ends in a 90-day roadmap; it notes retainer support is available. Its case studies include a move “From Salesforce to HubSpot with Race Roster” and a CRM project for Slimline Warehouse. It lists offices in North Sydney and Wilmington, USA.

The Three-Field Gate: what your CRM needs before an AI agent calls anyone

The Three-Field Gate says an AI sales agent should only contact a CRM record that passes three checks: a consent record, a callable number with a state, and an owner and stage for the result.

An AI agent works at a volume no rep does, so a bad field a rep would skip becomes hundreds of wrong calls or texts in an afternoon.

Three CRM fields decide whether an AI agent may contact a record; in our suggested thresholds, a field below 95% filled means fix the data before launch.
Field Why the AI needs it Suggested go-live threshold Pre-launch test
1. Consent record (who, when, how) The Spam Act requires consent for marketing SMS and email, and the ACMA says it is up to you to prove it 95% of records the AI will text have a consent source and date Export 50 records; every one shows source and date
2. Callable number plus state Telemarketing calls are limited to set hours; the state tells the agent which clock to schedule against 95% of records have a valid mobile and a state Run 20 test bookings across 3 states; none lands outside the permitted window
3. Owner and pipeline stage The result must land with a named rep and move the deal, or managers stop trusting the CRM 100% of records have an owner; stage set on every open deal Book 5 test meetings; each appears on the owner’s calendar and record

The thresholds and test counts are our suggested minimums, not an industry standard; set your own if you have a reason to. If your data fails the gate, the first job is a clean-up, and our CRM data hygiene guide covers how.

If we can’t make you money, we don’t deserve yours.

Worked example: how many CRM contacts an AI agent can actually work

A CRM of 10,000 contacts may leave about 6,840 an AI agent can safely text once the Three-Field Gate is applied, on the assumptions below, which you should replace with your own counts.

  • Start: 10,000 contacts in the CRM.
  • Assume 10% are duplicates (replace with your own duplicate report): 10,000 × 0.90 = 9,000 unique contacts.
  • Assume 80% of those have a recorded consent source and date: 9,000 × 0.80 = 7,200 contactable by SMS and email.
  • Assume 95% of those have a valid mobile and state: 7,200 × 0.95 = 6,840 the agent can text and schedule calls for.

On these assumptions roughly a third of the database is off-limits until the data is fixed, so ask any partner to run this count before quoting. The ACMA’s guidance also reminds buyers that a bought list does not move the responsibility: “You are still responsible for making sure you have consent for any addresses you use.”

Australian calling and spam rules an AI CRM integration must enforce

Australian AI CRM integrations must enforce the Spam Act 2003 for SMS and email and the Telemarketing and Research Calls Industry Standard 2017 for voice calls, whoever builds them.

  • Consent for messages: the ACMA says you need consent before sending marketing emails or messages, even if someone else sends them for you, and you should keep a record of who gave consent, when and how. Each message must identify you and make it easy to unsubscribe.
  • Calling hours: the Do Not Call Register industry standards page sets telemarketing calls at 9:00am–8:00pm on weekdays and 9:00am–5:00pm on Saturdays, with no calls on Sundays or national public holidays, unless the consumer has consented to a call at that time. It applies to calls to Australian numbers, including numbers not on the register.

These rules belong in the CRM fields every connected tool reads, not just in a script. This is general information, not legal advice.

Should you hire an integration partner or a done-for-you AI sales service?

An integration partner suits a team with staff to own the AI after handover; a done-for-you AI sales service suits a team that wants booked meetings without running the system itself.

Running it yourself means someone scopes the integration, tests it against the Three-Field Gate, reviews the AI’s scripts and calls, and keeps it compliant. With a CRM admin who has that time, a partner is often cheaper over the long run; without one, a service that carries the result removes the staffing question. For cost context, our cost per booked demo benchmarks for Australian B2B SaaS page shows how to price a meeting, and speed-to-lead automation in Australia covers the first integration most teams should build.

The thesis behind everything we do

Why Pay-Per-Result is the only marketing pricing model that aligns the agency with you

Leads Now AI is a 100% Pay-Per-Result marketing agency. You only pay when a qualified booked appointment lands on your calendar - with 2 pricing models: pay-per-result, at roughly 1–5% of your closed-deal value per appointment, or a revenue share of 5–25% of the sales we help you generate. Both bill on outcomes. Not on clicks. Not on lead-form fills. Not on retainer months. Not on “strategy hours.” If the calendar stays empty, you owe zero. See full pricing →

1. Incentives align

The agency only succeeds when you succeed. We eat the cost of bad ad creative, bad lists and no-shows. You never pay for our learning curve.

2. Self-selecting shortlist

Only an agency confident in its delivery can operate this model. The pool of Pay-Per-Result agencies is tiny precisely because most agencies can’t survive on it. Pick from the agencies who can.

3. Cost cannot detach from revenue

Priced as a share of the revenue we generate, your acquisition cost stays sustainable across LTV bands. A $500-membership business and a $50,000-engagement business can both run the model profitably.

4. No retainer trap

The standard engagement carries no monthly retainer - nothing arrives on your invoice regardless of outcome. No 6 or 12-month lock-in, no clawback on appointments already delivered, cancel any time with 14 days notice. Early-stage businesses that need the sales systems built first are quoted scoped groundwork up front, never a standing fee.

5. De-risks the pilot

Test before commitment. A small scope-based setup fee covers hard build costs; everything after that is purely outcome-linked. There’s no “we’ll see how it performs after $30k of spend.”

6. Forces agency discipline

If nobody books, or none of your meetings show, we eat the cost. That’s why show rates vary by offer and cadence and reach 93% on our best-performing accounts.

The volume argument

A fully-ramped human SDR produces on the order of $200,000 a year. They work one conversation at a time, sleep, take leave, and cap out at a territory. Our agents work every lead in the list in parallel - responding in seconds, following up indefinitely without getting bored, and adding capacity without adding headcount.

At 100 qualified booked appointments a month against a $5,000 average deal value, that is $500,000 of booked pipeline every month - roughly what one SDR produces in two and a half years.

Read that precisely: booked pipeline means appointments multiplied by your average deal value. It is not closed revenue - closing is your side of the table, and your close rate decides what lands. The inputs above are a worked example; we size them to your actual deal economics before quoting. What we can evidence on our own numbers: 50,769+ appointments delivered since 2017, database reactivation converting 4.4–8.9% on dormant CRM lists, and show rates that vary by offer and reminder cadence - up to 93% on our best-performing accounts.

The proof: 50,769+ AI-booked sales appointments delivered since 2017 across coaches, consultants, RTOs, course creators, finance brokers and B2B service firms in Australia, USA, UK, Canada, NZ and Europe.
