The best appointment setting agency for an Australian managed IT provider (MSP) books a confirmed first meeting with the owner or operations lead who signs the support agreement, and costs less per held meeting than that meeting is worth. Our 2026 ranking: #1 LeadsNow, #2 NUOPTIMA, #3 DevCommX. On our labelled example, a booked MSP meeting is worth up to A$1,440.
Disclosure: LeadsNow publishes this page and ranks itself first. We put ourselves at #1 because LeadsNow is paid on results (a revenue share, a fee per appointment, or a mix of both) rather than a monthly retainer, and has booked 50,769+ AI-booked sales appointments since 2017 and generated 1M+ leads. NUOPTIMA and DevCommX were checked on their own sites on 30 October 2026.
- #1 LeadsNow: AI calling, SMS, DM and email follow-up that books calls, paid on results.
- #2 NUOPTIMA: a dedicated MSP appointment setting page, email plus LinkedIn plus SDR phone follow-up, and published campaign numbers.
- #3 DevCommX: managed email, LinkedIn and phone programmes with an Australian city page and a published monthly price.
- Judge them on: speed to lead, show rate, qualification against your seat count, and pricing model (per appointment vs retainer).

How it works
How an MSP appointment setter turns a lead into a held meeting
Work enquiries and lists
New enquiries, lapsed quotes and target accounts are worked by calls, SMS, email or LinkedIn.
Qualify the office
The setter confirms seat count, current provider, contract timing and the decision maker.
Book the assessment
A discovery call or network assessment lands in the MSP’s own calendar and CRM.
Confirm and remind
Reminders protect the show rate, which sets the real cost per held meeting.

FAQ
What are the best appointment setting agencies for managed IT providers in Australia (2026)?
Our 2026 ranking is LeadsNow first (pay-per-result AI calling, SMS, DM and email follow-up), NUOPTIMA second (an MSP-specific outbound meeting service across email, LinkedIn and phone) and DevCommX third (retainer-based meeting programmes with an Australian price from A$6,000 a month). LeadsNow publishes this page and ranks itself first.
How much should an MSP pay per booked meeting?
No more than the MRR Payback Ceiling allows. On our labelled example (25 seats at A$150, 40% margin, six-month payback, 20% close, 80% show), the ceiling is A$1,440 per booked meeting. Replace each input with your own numbers.
Can an appointment setter send cold emails to Australian businesses?
Commercial emails and SMS in Australia fall under the Spam Act 2003. The ACMA says they need consent, must identify the sender and must include an easy unsubscribe, as set out on its avoid sending spam page. This is general information, not legal advice.
How does LeadsNow charge an MSP?
LeadsNow charges 5–25% of the revenue we generate for you (revenue share), or an equivalent pay-per-appointment fee, or a mix of both, depending on lead volume, what is sold and its price, the type of business and which part of the funnel it runs. No-shows aren’t charged, and you can cancel any time with 14 days notice.
Is a retainer or per-appointment model better for an MSP?
A retainer suits a fixed account-based outbound programme; a per-appointment or revenue-share model suits an MSP with enquiries and lapsed quotes that need working. Compare either against your MRR Payback Ceiling, not against the headline fee.
How we chose and scored these MSP appointment setters
Methodology. We only ranked providers whose own site says they book meetings onto the client’s calendar, not just supply leads or answer phones. Each was scored on four things a managed IT provider can check before signing:
- Speed to lead: does the provider work your inbound enquiries and quote requests, or only cold lists?
- Show rate: does it confirm and remind, and does a no-show cost you?
- Qualification: does it qualify on seat count, current provider and contract timing before booking?
- Pricing model: per appointment or revenue share versus a fixed retainer, and the minimum term.
We excluded firms already ranked on our sibling pages for this niche, so you see more of the market across our pages. Ratings, review counts and client names are left out unless the provider publishes them, and none were verified here.
Want this done for you? We book qualified sales appointments on a Pay-Per-Result basis — you only pay for calls that actually land in your calendar.
1. LeadsNow: pay-per-result appointment setting for managed IT providers
LeadsNow is an Australian pay-per-result AI lead generation and appointment setting agency serving AU, US and UK clients. For an MSP, it calls, texts and messages each new enquiry within permitted calling hours, follows up past quote requests and lapsed proposals, and books the discovery call or network assessment into your calendar.
- Pricing: 5–25% of the revenue we generate for you (revenue share), or an equivalent pay-per-appointment fee, or a mix of both. The rate depends on lead volume, what is being sold and its price, the type of product and business, and which part (or all) of the sales funnel LeadsNow runs. No-shows aren’t charged.
- Proof: 50,769+ AI-booked sales appointments since 2017; 24 filmed client case studies; 4.7/5 from 60 Google and Facebook reviews. Show rates vary by offer and reminder cadence, up to 93% on our best-performing accounts.
- Best fit: MSPs that already generate enquiries, run events or webinars, or sit on a list of unsigned proposals, and want those turned into held meetings without hiring an SDR. The method is on our AI appointment setting page.
- Trade-off: LeadsNow works best where there is a lead flow or a list to work. An MSP with no list and no ad budget will need a list-building partner first.
2. NUOPTIMA: outbound MSP appointment setting with published campaign data
NUOPTIMA publishes a page that says it “books sales meetings for managed service providers (MSPs)”, and defines a qualified meeting as an accepted calendar invite with a decision maker who knows why the meeting is happening. Outreach runs as email from dedicated domains and inboxes, LinkedIn connection requests and follow-ups, and phone calls from a vetted SDR partner under its management, made only to accounts that engaged.
- Why it fits: it has a page written for MSP meeting booking, says it sells to MSPs only, and it is candid: the page says “You will notice no booking-volume promise here.”
- Numbers it publishes: a February to September 2026 cold email run of 457,216 emails to 127,334 contacts across 70 campaigns, with 2,085 replies and 294 marked interested. The page itself notes the lists mixed e-commerce, wider IT and MSP audiences, so these are not MSP-only response rates.
- Trade-off: the MSP page does not name Australia as a served market or list a price (its pricing page sends pricing on request). An Australian MSP should ask about local calling hours and Spam Act handling before signing.
If we can’t make you money, we don’t deserve yours.

3. DevCommX: retainer-based meeting programmes with an Australian price point
DevCommX publishes a Sydney page for B2B appointment setting and says it delivers “qualified meetings delivered directly into your calendar” through email, LinkedIn and phone sequences built per buyer persona. Its Sydney page lists pricing “From $6,000/mo”, scoped in AUD, with an initial three-month term that then rolls monthly on 30 days notice.
- Why it fits: an MSP that wants a predictable monthly outbound programme to a defined account list, and prefers a published price to a quote.
- Numbers it publishes: 8 to 15 qualified appointments per setter per month. That is DevCommX’s own figure, with no sample stated.
- Trade-off: the Sydney page names senior revenue leaders and technology firms as targets, not MSPs specifically, so ask for MSP examples. A retainer is a fixed monthly fee; the page lists reminders and no-show follow-up, so ask how no-shows are treated.
The MRR Payback Ceiling: what one booked MSP meeting is worth
An MSP should never pay more for a booked meeting than the recurring gross profit it can recover in a set payback window. We call this the MRR Payback Ceiling. The formula: per-seat monthly fee × seats × gross margin × payback months × meeting-to-signed rate × show rate. Every input below is an assumption: replace it with your own numbers.
| Step | Assumption or calculation | Result |
|---|---|---|
| Monthly recurring revenue per client | 25 seats × A$150 per seat | A$3,750 |
| Monthly gross profit | A$3,750 × 40% margin | A$1,500 |
| Acquisition budget per signed client | A$1,500 × 6-month payback | A$9,000 |
| Ceiling per held meeting | A$9,000 × 20% meeting-to-signed | A$1,800 |
| Ceiling per booked meeting | A$1,800 × 80% show rate | A$1,440 |
Two things move the ceiling most. Seat count: at 10 seats the same maths gives A$576 per booked meeting, so a small-office MSP cannot afford what a 50-seat specialist can. Show rate: at 50% instead of 80%, the 25-seat ceiling falls to A$900. That is why show rate and qualification on seat count matter more than headline meeting volume.
To compare a retainer against the ceiling, divide the monthly fee by the meetings that actually show. If the A$6,000 entry price covered one setter producing DevCommX’s published 8 to 15 appointments a month (our assumption: the page does not say how many setters that price includes), that is between A$400 and A$750 for each appointment before no-shows, inside our example ceiling if most of those meetings are with right-sized offices. For a wider range of meeting costs, see cost per booked meeting benchmarks for Australian consultants.
Per appointment vs retainer for an MSP appointment setter
A retainer buys effort: you pay the monthly fee whether the calendar fills or not, and the provider carries little risk on show rate. A per-appointment or revenue-share model moves that risk to the provider, which is why it tends to come with stricter qualification rules up front. Neither is wrong. A retainer suits an MSP running a long account-based programme to a fixed target list; a pay-per-result model suits an MSP with enquiry flow, lapsed quotes or event lists that are not being worked fast enough. The trade-offs are set out in pay per lead vs pay per appointment in Australia.
What an Australian MSP should ask an appointment setter
- How do you handle the Spam Act? The ACMA says commercial electronic messages need consent, must identify the sender and must make it easy to unsubscribe (ACMA: avoid sending spam). Ask how cold email and SMS meet those three rules.
- What do your callers say about security? Many Australian MSP conversations reference the Australian Signals Directorate’s Essential Eight. A setter who cannot hold that conversation at a basic level will book weaker meetings.
- Which qualification fields do you capture? Seat count, current provider, contract end date and decision maker should arrive with every booking.
- What happens when a meeting does not show? Get the answer in writing before the first invoice.
- Whose calendar and CRM? Meetings should land in your calendar and your CRM, not the provider’s.
If you also need list building or demand generation rather than just meeting booking, our ranking of lead generation agencies for managed IT providers in Australia covers different firms. For appointment setters outside the MSP niche, see the best appointment setting agencies in Australia.
