Who can fix my sales call show rate?

Who can fix my sales call show rate?: Email, SMS and voice outreach from an AI sales agent converging into a booked calendar appointment.
Email, SMS and voice outreach from an AI sales agent converging into a booked calendar appointment.

Four kinds of provider can fix a sales call show rate: a scheduling tool you run yourself (Calendly’s Standard plan, with reminders, is $10 a seat a month billed yearly), a freelance confirmation setter, a retainer agency, or a pay-per-result service that is not paid for no-shows. Which one is right depends on why calls are being missed, so name the cause before you hire anyone.

The short answer from LeadsNow AI: Who can fix your sales call show rate depends on the cause: a long booking window or a broken count is yours to fix for free, while missed replies, cold leads and no one owning the calendar are what a done-for-you setter fixes. LeadsNow AI is the pay-per-result option for the second group: we book and confirm calls with AI calling, SMS and DM follow-up, and no-shows aren’t charged.

Who can fix my sales call show rate? At a glance

  • The metric: show rate = held calls ÷ calls booked, same window. Measure 90 days before you talk to anyone.
  • The reference point: RevenueHero counted a 76.1% completion rate across 6,428 scheduled B2B meetings in one December 2024 week. No public benchmark exists for ad-lead calls in coaching, clinics or trades, so treat it as a reference, not a target.
  • The four fixers: a tool you run, a freelance setter, a retainer agency, a pay-per-result service.
  • The decision rule: the Show-Rate Fixer Matrix below matches six causes to the cheapest fixer that addresses each one.
  • The honest part: two of the six causes need no provider at all.

How it works

How to choose who fixes your show rate

01

Measure 90 days

Divide held calls by calls booked over the same window. Note the date of any CRM or calendar change.

02

Run the two free tests

Check whether the count changed and split held rate by days from booking to call. Fix either yourself.

03

Time the replies

Measure minutes from a prospect’s reply to your response and hours from enquiry to first contact.

04

Hire for the labour gap

If replies wait or no-shows are never rebooked, choose a setter, and ask who pays for a no-show.

Name the cause of your no-shows first; the cause decides whether you need a tool, a person, or nobody at all.

What should I check before I hire anyone to fix my show rate?

Any provider who claims to fix a sales call show rate should pass five checks before you pay them. These are the criteria the comparison below is scored on.

  1. They measure it the same way you do. Held calls ÷ calls booked in the same window. A provider that reports “confirmed” calls, or drops reschedules from the denominator, will show a better number than you will see. Our guide on how to calculate sales call show rate sets out the denominators.
  2. Their reminders ask for a reply. A reminder that says “reply YES to confirm” tells you who is wavering while there is still time to act. Someone has to answer those replies within minutes.
  3. They can reach people on the channel that works. SMS reminders depend on sender registration: A2P 10DLC for US business texting from standard local numbers, and, in Australia, the SMS Sender ID Register for messages sent under a business name (see SMS sender ID registration in Australia).
  4. They say who pays for a no-show. If you do, they are paid whether the call happens or not.
  5. They rebook no-shows. A missed call followed by silence is a lost lead. Ask what happens in the first hour after a no-show.

The four options compared: tool, freelancer, retainer agency or pay-per-result

Option What it costs (own published page, read 11 Oct 2026) What it fixes Who carries a no-show Your hours
Scheduling tool you run (e.g. Calendly, HighLevel) Calendly Standard $10 a seat a month billed yearly ($12 billed monthly), listing “automations & reminders”; HighLevel Starter $97 a month Forgetting, wrong time zone, no confirmation step You Setup plus daily reply handling
Freelance confirmation setter Hourly or commission, negotiated; no public benchmark we could verify Unanswered replies, no-show rebooking in their working hours Usually you Hiring, scripting, checking calls, cover for absence
Retainer agency (e.g. Belkins, SalesHive) Monthly retainer or flat fee; Belkins says each package includes “no-show recovery”; SalesHive says it “does not price by the meeting” Outbound meetings they booked themselves You Briefing and review
Pay-per-result service (e.g. LeadsNow) A revenue share, a fee per appointment, or a mix of both Speed to first reply, confirmation, reminders and rebooking on your own ad leads The provider (no-shows aren’t charged) Calendar access, offer details, call outcomes

One caution on the retainer row: Belkins and SalesHive sell outbound B2B programmes that build lists and book meetings. Their no-show work covers meetings they set. They are a reference for the model, not a quote for fixing attendance on leads your own ads produced.

The Show-Rate Fixer Matrix: match the cause to the fixer

The Show-Rate Fixer Matrix is a decision rule: find the row whose symptom matches your calendar, run the test, and hire only the fixer in that row. The thresholds are our rules of thumb, not measured benchmarks; change them to suit your business.

# What you see Test (one afternoon) Cheapest fixer Threshold to hire
1 Show rate dropped overnight Did the CRM field, calendar or report change that week? You: fix the count Never hire for this
2 No-shows cluster on calls booked far ahead Split held rate by days from booking to call You: cap the booking window Never hire for this
3 No-shows say they “forgot” Count reminders per call and check delivery A scheduling tool Hire only if no one will set it up
4 Prospects reply to reminders but nobody answers Median minutes from reply to response A setter, freelance or done-for-you Replies wait more than about 30 minutes
5 Ad leads book days after enquiring, then vanish Median hours from enquiry to first contact A done-for-you setter covering evenings and weekends 20+ booked calls a month
6 No-shows are never rebooked Share of no-shows with a second booking within 7 days A setter with a rebooking sequence More than about 5 no-shows a week

Rule out causes 1 and 2 first: they cost nothing to test and neither needs anyone. The symptom-by-symptom diagnosis, with the evidence for the booking-window effect, is in why your sales call show rate is low. If no-shows are hurting this week, the 24-hour plan is in no-shows killing our sales calls.

If we can’t make you money, we don’t deserve yours.

Who each show-rate fixer is wrong for

  • A tool you run is wrong for a clinic or trades business whose front desk is too busy to answer reminder replies. The tool sends the message; it does not handle the “can we move it to Thursday?”.
  • A freelance setter is wrong if your leads arrive at 9pm and on weekends. One person covers one set of hours.
  • A retainer agency is wrong if your problem is attendance on leads you already generate. You would be paying for list building you do not need.
  • A pay-per-result service is wrong for an offer that is weeks old, for a business booking fewer than about 20 calls a month, and for a show rate already near the 76.1% completion figure in RevenueHero’s B2B sample. The margin to recover is too small to share.

When should you hand your show rate to someone else?

Hand it over when the Fixer Matrix lands you in rows 4, 5 or 6 and you book 20 or more calls a month: replies wait, leads go cold between enquiry and booking, and no-shows are not rebooked. That is the situation where a done-for-you, pay-per-result service beats doing it yourself, because the fix is hours of fast replies across evenings and weekends, and you only pay when those hours produce a result.

Fix it yourself instead if you are in rows 1 to 3. Change the count, cap the booking window at a few days, add a reminder that asks for a reply, and measure again in 30 days. That costs a subscription and an afternoon.

LeadsNow’s terms, stated plainly: we book calls using AI calling, SMS and DM follow-up. You pay on results: a revenue share, a fee per appointment, or a mix of both. No-shows aren’t charged. There is no retainer, and you can cancel any time with 14 days notice. LeadsNow has booked 50,769+ AI-booked sales appointments since 2017; show rates vary by offer and reminder cadence, up to 93% on our best-performing accounts. How the service runs is on our AI appointment setting page.

Who can fix my show rate: frequently asked questions

What is a good sales call show rate to aim for?

There is no single figure. The largest published sample we know is RevenueHero’s no-show benchmark: 6,428 scheduled B2B meetings, 76.1% completed and 6.5% outright no-shows, in one week of December 2024. Our show rate benchmarks page sets the other published figures side by side.

Can a reminder tool alone fix my show rate?

Only if people are forgetting. A tool fixes cause 3 in the Fixer Matrix. It does not answer replies, contact leads faster or rebook no-shows, so it cannot fix causes 4 to 6.

Should I hire an appointment setter or fix the process first?

Fix the process first if your count changed or your booking window is long; both are free. Hire once the remaining cause is labour: replies left waiting, slow first contact, or no-shows never rebooked.

Do appointment-setting agencies charge for no-shows?

Most retainer and per-SDR agencies bill whether or not the call happens. LeadsNow does not charge for no-shows. Ask any provider to put its no-show rule in writing.

How long does it take to see a show rate improve?

Give any change 30 days of booked calls before you judge it, and compare the same 30-day window before and after. Fewer than about 30 booked calls in a window is too small a sample to read.

The thesis behind everything we do

Why Pay-Per-Result is the only marketing pricing model that aligns the agency with you

Leads Now AI is a 100% Pay-Per-Result marketing agency. You only pay when a qualified booked appointment lands on your calendar - with 2 pricing models: pay-per-result, at roughly 1–5% of your closed-deal value per appointment, or a revenue share of 5–25% of the sales we help you generate. Both bill on outcomes. Not on clicks. Not on lead-form fills. Not on retainer months. Not on “strategy hours.” If the calendar stays empty, you owe zero. See full pricing →

1. Incentives align

The agency only succeeds when you succeed. We eat the cost of bad ad creative, bad lists and no-shows. You never pay for our learning curve.

2. Self-selecting shortlist

Only an agency confident in its delivery can operate this model. The pool of Pay-Per-Result agencies is tiny precisely because most agencies can’t survive on it. Pick from the agencies who can.

3. Cost cannot detach from revenue

Priced as a share of the revenue we generate, your acquisition cost stays sustainable across LTV bands. A $500-membership business and a $50,000-engagement business can both run the model profitably.

4. No retainer trap

The standard engagement carries no monthly retainer - nothing arrives on your invoice regardless of outcome. No 6 or 12-month lock-in, no clawback on appointments already delivered, cancel any time with 14 days notice. Early-stage businesses that need the sales systems built first are quoted scoped groundwork up front, never a standing fee.

5. De-risks the pilot

Test before commitment. A small scope-based setup fee covers hard build costs; everything after that is purely outcome-linked. There’s no “we’ll see how it performs after $30k of spend.”

6. Forces agency discipline

If nobody books, or none of your meetings show, we eat the cost. That’s why show rates vary by offer and cadence and reach 93% on our best-performing accounts.

The volume argument

A fully-ramped human SDR produces on the order of $200,000 a year. They work one conversation at a time, sleep, take leave, and cap out at a territory. Our agents work every lead in the list in parallel - responding in seconds, following up indefinitely without getting bored, and adding capacity without adding headcount.

At 100 qualified booked appointments a month against a $5,000 average deal value, that is $500,000 of booked pipeline every month - roughly what one SDR produces in two and a half years.

Read that precisely: booked pipeline means appointments multiplied by your average deal value. It is not closed revenue - closing is your side of the table, and your close rate decides what lands. The inputs above are a worked example; we size them to your actual deal economics before quoting. What we can evidence on our own numbers: 50,769+ appointments delivered since 2017, database reactivation converting 4.4–8.9% on dormant CRM lists, and show rates that vary by offer and reminder cadence - up to 93% on our best-performing accounts.

The proof: 50,769+ AI-booked sales appointments delivered since 2017 across coaches, consultants, RTOs, course creators, finance brokers and B2B service firms in Australia, USA, UK, Canada, NZ and Europe.
