To sell VIP conference tickets, call the general-admission buyers most likely to upgrade, soon after they buy. The cheapest VIP buyer a conference has is someone who already bought a GA ticket: they have chosen the event, given you a phone number and paid once. The VIP Upgrade Call List ranks them. How many VIP upgrades do 100 GA sales produce?

No credible public benchmark exists for GA-to-VIP upgrade rates, so the rates below are labelled assumptions to replace with your own. Inputs: GA at US$1,200, VIP at US$3,000, so an upgrade adds US$1,800 of revenue; VIP inclusions (dinner, lounge, reserved seating) cost US$400 a head, so each upgrade adds US$1,400 of margin. Of every 100 GA orders, 20 score 5+ and are called, 60% of those calls connect, and 30 minutes per buyer covers attempts and follow-up. The other 80 get email.

Worked example, mid band: 20 × 60% = 12 conversations; 12 × 25% = 3 upgrades; 3 × US$1,400 = US$4,200 over 10 hours = US$420 an hour. Email adds 80 × 2% = 1.6 upgrades. On this model, calls produce about two-thirds of VIP upgrade margin from one-fifth of the GA list. If your margin per calling hour falls below what an hour of a seller costs you, narrow the list to 6+ points.

When to call: the four VIP upgrade windows

Timing matters because a GA buyer’s attention on your event decays after checkout. Maritz’s Registration Insights Report (360,000+ registration records across three years of 30 trade shows) suggests, as one explanation for their lower add-on spend, that early registrants are not likely to return to the site to purchase add-ons later. The upgrade has to go to them.

  1. Within 72 hours of the GA purchase. The buyer still remembers why they bought. Lead with what the VIP room adds for them, not with the price.
  2. At the speaker or agenda announcement. A new name gives you a reason to call: “the VIP dinner is with this speaker.”
  3. Before VIP inclusions close. Usually when the VIP dinner seating plan or hotel block locks; a real date, not an invented one.
  4. Not in the final week. First-timers are more likely to register late (Maritz: 47% of first-timers register late against 25% of repeat attendees), and that week’s calling time is better spent on them and on unsold GA.

Time of day follows the called person’s rules, not yours: in the US the FCC rule at 47 CFR 64.1200(c)(1) bars telephone solicitation of residential subscribers before 8am or after 9pm local time at the called party’s location; Australia’s ACMA allows telemarketing 9am–8pm weekdays and 9am–5pm Saturdays; the UK’s ICO requires screening against the TPS and Corporate TPS. What to say on a VIP upgrade call

A VIP upgrade call is a five-minute service call, not a pitch. Four questions, in order:

  1. Why did you book? The answer tells you which VIP inclusion to mention.
  2. Who else from your team is coming? Group buyers can upgrade several seats in one decision.
  3. Who signs off on event spend? If the company pays, offer an invoice for the difference, not a card link.
  4. Shall I hold one of the remaining VIP places until Friday? A real hold with a real expiry, not an invented countdown.

What do VIP conference tickets include, and what do they cost?

There is no standard. Eventbrite’s VIP package guide (April 2024) lists early access, a dedicated VIP entrance, premium refreshments and premium seating among common inclusions, and says conference VIPs may get a lounge with complimentary drinks, better dining and bag storage. The same post reports that attendance at events mentioning ‘VIP’ grew by 18% globally on Eventbrite’s platform the previous year; that is Eventbrite’s own platform figure, not an industry benchmark. We found no credible public benchmark for the VIP-to-GA price ratio, which is why the model above states its own (2.5x) as an assumption.

Price the VIP gap from the inclusion cost up: the model’s US$400 inclusion cost against a US$1,800 price gap leaves US$1,400. Our working rule: keep VIP inclusion cost under a quarter of the VIP-to-GA price gap (US$400 of US$1,800 is 22%), or the upgrade margin cannot pay for the calls that sell it.
