The cost of a slow reply is the share of enquiries that would have enrolled with a fast reply but do not after the wait. No public source measures that share for flight schools, so the model below uses three labelled assumption bands. Replace every input with your own.

The four causes, and the test for each

No public data ranks these causes by frequency, so they are ordered by how cheap they are to test.

  1. The form goes to an inbox nobody watches after 6pm. Test: submit your own enquiry at 7pm on Friday and time the first human reply.
  2. The auto-reply has no next step. Test: read it. If it says “we will be in touch” without a price range or a booking link, it does nothing.
  3. Trial flights can only be booked by phone. Test: try to book one at 10pm without speaking to anyone.
  4. Monday’s callback list is worked in arrival order. Test: check whether a career-course enquiry from Friday night is called before a gift-voucher query from Monday morning.

The fix: a three-tier after-hours response that respects calling hours

The after-hours fix for a flight school has three tiers, because written messages and phone calls are governed differently.

Tier 1: written reply inside a minute, any hour. An SMS or email that answers the question asked, gives the trial-flight price and links to a calendar the prospect can book without a call.

Tier 2: a call at the start of the next permitted window. In Australia, the ACMA lists telemarketing calling hours as 9am–8pm on weekdays and 9am–5pm on Saturdays, with no calls on Sundays. In the United States, 47 CFR 64.1200(c)(1) bars telephone solicitations to residential numbers before 8am or after 9pm in the called party’s local time, although the rule’s definition of a telephone solicitation excludes calls made with the person’s prior express invitation. In both countries, a call inside those windows is the safe default for an enquiry.

Tier 3: the morning queue, sorted by value. Career-course and multi-licence enquiries first, then recreational, then vouchers.

What the after-hours fix costs to run yourself

Running the three tiers in-house costs less in software than in people. A form-to-SMS automation and an online booking calendar are inexpensive. The expensive part is the human Tier 2 and Tier 3: someone who can answer medical, licence and funding questions, rostered across evenings and Saturdays. As a rule of thumb, below about five after-hours enquiries a week a rota of two instructors sharing the enquiry line is enough.
