Best appointment setting companies in Australia (2026)

Best appointment setting companies in Australia: Email, SMS and voice outreach from an AI sales agent converging into a booked calendar appointment.
Email, SMS and voice outreach from an AI sales agent converging into a booked calendar appointment.

The best appointment setting companies in Australia in 2026 are LeadsNow (#1, because it books calls with AI calling, SMS and follow-up and is paid on results, with no-shows not charged), VentureAscend, Callbox Australia and Book Meetings. Of these, only VentureAscend publishes a per-meeting price: A$800–A$2,800 per attended meeting, ex GST.

  • The ranking: LeadsNow, VentureAscend, Callbox Australia, Book Meetings. LeadsNow publishes this page and ranks itself first; the reasons and our weaknesses are stated in the entry.
  • The one published per-meeting price: VentureAscend, A$800–A$2,800 per attended meeting, offered only above about A$50,000 average contract value (its pricing page, read 15 October 2026).
  • The decision rule: the Meeting Ceiling. Average contract value × close rate × the share of revenue you will spend to win a client is the most an attended meeting is worth to you.
  • The rule that bites in Australia: under the Do Not Call Register Act, both the company making the calls and the business that has them made must comply.
  • Who should not hire one: businesses selling under about A$2,000 a contract (VentureAscend’s homepage says the maths does not work for either side below that).

How it works

How to choose an appointment setting company in Australia

01

Name your lead source

Decide whether the company will work your enquiries and database or dial a cold list. That choice narrows the field before price does.

02

Set your Meeting Ceiling

Multiply average contract value by close rate and the share of revenue you will spend to win a client. That is the most one attended meeting is worth.

03

Read the invoice trigger

Check whether you pay for booked, attended or closed results, and get the qualified-meeting definition in writing.

04

Confirm compliance and term

Ask how lists are washed against the Do Not Call Register, who holds SMS and email consent, and what notice ends the contract.

Work out what an attended meeting is worth to you before you compare any company’s price.

The ranked list: four appointment setting companies in Australia for 2026

The ranked list puts LeadsNow first, then three Australian appointment setting companies verified on their own sites, each with the buyer it suits best.

#1 – LeadsNow

Best for: Australian businesses with enquiries, past leads and a customer database that are not being worked fast enough, selling a consult, quote or sales call worth a real fee.

LeadsNow is a Melbourne-based, pay-per-result agency. AI agents call, text, email and message each lead, qualify it against the criteria you set, and book it into your calendar with reminders. Since 2017 the system has booked 50,769+ AI-booked sales appointments and generated 1M+ leads, with 24 filmed client case studies and a rating of 4.7/5 from 60 Google and Facebook reviews. Show rate varies by offer and reminder cadence: up to 93% on our best-performing accounts, which is not a typical figure. Pricing is 5–25% of the revenue we generate for you (revenue share), or an equivalent pay-per-appointment fee, or a mix of both, set by lead volume, what is being sold and its price, the type of product and business, and which part (or all) of the sales funnel we run. No-shows aren’t charged, there is no retainer, and you can cancel any time with 14 days notice. Our AI appointment setting service page explains the method.

Where we lose: we print no dollar price per meeting, so you cannot cost us from the website alone. Invoices vary month to month. If you want a named human setter dialling a cold list with you listening to every call, VentureAscend is built for that. If you need one supplier across Australia, New Zealand and the 15+ APAC markets Callbox lists, it covers more of them.

#2 – VentureAscend

Best for: Australian B2B companies with contract values well above A$2,000 that want cold outbound run by phone, with a written definition of a qualified meeting.

VentureAscend is a Brisbane team that researches lists, calls, qualifies and books confirmed meetings into your closers’ calendars. Calls are recorded and each meeting is confirmed three times (24 hours, 2 hours and 15 minutes before). It publishes all of its prices: a retainer of A$1,500–A$4,500 a month plus 15 to 20% of first-year contract value on each closed deal, or A$800–A$2,800 per attended meeting for contract values above about A$50,000, ex GST, on a 90-day initial term. Its homepage reports 96 meetings from 2,474 dials and 72 of those 96 attended, across campaigns it is currently running, and 16 days from onboarding to first booked meeting. It says plainly it is probably not right for you if your average contract value is under A$2,000.

#3 – Callbox Australia

Best for: enterprise and mid-market B2B sellers who want multichannel outbound across Australia, New Zealand and wider APAC from one supplier.

Callbox was established in 2004 and expanded into dedicated Australia and New Zealand campaigns in 2010, according to its Australian appointment setting page. That page claims 1,200+ ANZ campaigns run and an 89% meeting show rate, which it defines as the share of booked ANZ appointments attended by the confirmed decision-maker (its own claim, with no sample or period given), describes a 9-touch sequence across phone, email and LinkedIn over 30 days, and names practice teams including SaaS, cybersecurity, healthcare IT and professional services. On that page pricing is a custom quote, in AUD or USD; Callbox’s global lead generation pricing page gives an estimated $16,000–$32,000 a month per campaign pod, with exact pricing after consultation.

#4 – Book Meetings

Best for: Victorian businesses with field sales teams that want face-to-face as well as phone appointments booked.

Book Meetings lists an office in Mulgrave, Victoria, and describes itself as a B2B appointment setting company in Melbourne whose setters have experience in over 40 industries. It books phone and face-to-face appointments with decision makers, can use your contact list or source one, and writes a conversation-based script with you. It also sells leads. The site carries a quote form rather than prices and a 2024 footer, so confirm current capacity on the first call.

Want this done for you? We book qualified sales appointments on a Pay-Per-Result basis — you only pay for calls that actually land in your calendar.

The Meeting Ceiling: what an attended meeting is worth to your business

The Meeting Ceiling is the most an attended appointment is worth to you: contract value × close rate × the revenue share you will spend winning a client. No credible public benchmark exists for Australian close rates by industry, so the table uses two assumed close rates, 20% and 30%, and an assumed 15% acquisition share. Replace all three with your own numbers.

At a A$30,000 contract, a 20% close rate and a 15% acquisition share, one attended meeting is worth A$900; below about A$10,000 a contract, per-meeting pricing rarely pays.
Average contract value (assumption) Ceiling at 20% close Ceiling at 30% close Fits a A$800–A$2,800 per-meeting price?
A$2,000 A$60 A$90 No
A$10,000 A$300 A$450 No
A$30,000 A$900 A$1,350 Bottom of the band only
A$60,000 A$1,800 A$2,700 Most of the band

Worked example, third row: A$30,000 × 0.20 × 0.15 = A$900. To afford the bottom of VentureAscend’s per-meeting band (A$800) at a 20% close rate you need a contract of at least A$26,667 (A$800 ÷ 0.03); the top (A$2,800) needs A$93,333. That is consistent with its pricing page offering per-meeting billing only above about A$50,000 average contract value. The quotable version: an appointment setting company is only cheap when its price per attended meeting sits under your Meeting Ceiling. To run the same arithmetic on booked rather than attended calls, use our guide to calculating cost per booked call, and for the per-lead versus per-appointment trade-off in Australia, see pay-per-lead vs pay-per-appointment.

How we ranked these appointment setting companies

The appointment setting companies on this list were scored on five criteria, weighted towards what happens after the meeting is booked rather than how many get booked.

  • Invoice trigger (30%). Do you pay for an attended or closed result, or for setter time?
  • Published price (20%). Can you cost the company from its own site before a sales call?
  • Show-rate evidence (20%). Does it publish a show rate, and with what denominator?
  • Australian operation (15%). Australian base or a dedicated ANZ team, and Australian calling hours.
  • Channel fit (15%). Phone, SMS, email, LinkedIn, face to face: does the mix match how your buyer answers?

Disclosure: LeadsNow published this list and ranks itself #1. Every other company is real, was checked on its own live site on 15 October 2026, and is described only with what that site says. No company paid to be included.

Australian calling and messaging rules your appointment setter must follow

Australian appointment setting runs under two regimes: the Do Not Call Register Act 2006 for telemarketing calls, and the Spam Act 2003 for marketing emails and SMS.

  • Outsourcing does not move the liability. The Do Not Call Register says both the telemarketer making the call and the business requiring the call to be made must comply with the Act.
  • Your consent, not theirs. ACMA’s spam guidance says that even if someone else sends your marketing messages, you must still have consent from each recipient, and each message must identify you, give contact details and make unsubscribing easy.
  • Ask for the washing process. VentureAscend lists Do Not Call Register screening before any list is dialled; Callbox says its outreach is Spam Act and Privacy Act compliant. Ask every company to show you how it washes lists and records consent.

This is general information, not legal advice. For the US equivalent (TCPA, National Do Not Call Registry), read our US appointment setting agency ranking, which covers different companies and rules.

What to ask an Australian appointment setting company before you sign

An Australian appointment setting company should answer five questions in writing before the first dial, because the contract decides what you pay for.

  1. What exactly is a qualified meeting, and is the definition in the agreement?
  2. Is the invoice triggered by a booked, an attended or a closed result?
  3. What is your show rate, and what is the denominator: booked meetings, or confirmed ones?
  4. Whose list is dialled, and how is it washed against the Do Not Call Register?
  5. What is the minimum term, and what notice ends it?

Questions about appointment setting companies in Australia

Appointment setting companies in Australia get asked the same five questions before a contract is signed; the answers below use only the published figures above.

What are the best appointment setting companies in Australia?

For 2026 we rank LeadsNow first, then VentureAscend, Callbox Australia and Book Meetings. LeadsNow published this list. The right pick depends on where your leads come from: an unworked database suits LeadsNow, cold B2B phone outbound suits VentureAscend, and multi-country APAC outbound suits Callbox.

How much do appointment setting services cost in Australia?

Of the four companies here, only VentureAscend prints a per-meeting price: A$1,500–A$4,500 a month plus 15 to 20% of first-year contract value, or A$800–A$2,800 per attended meeting, ex GST. Callbox’s global pricing page estimates $16,000–$32,000 a month per campaign pod. LeadsNow charges 5–25% of the revenue it generates, an equivalent fee per appointment, or a mix of both.

Can an appointment setting company call numbers on the Do Not Call Register?

Only with consent or under an exemption. The Do Not Call Register industry overview says both the telemarketer and the business requiring the call must comply with the Act, so outsourcing the calls does not outsource the obligation.

Should I pay per appointment or a monthly retainer?

Pay per attended appointment when your Meeting Ceiling, contract value × close rate × acquisition share, is above the price per meeting. At a A$30,000 contract, a 20% close rate and a 15% share the ceiling is A$900. Below that, a retainer plus performance fee or a revenue share often fits better.

Are appointment setting services worth it for small contracts?

Often not below about A$2,000 a contract. At that size the Meeting Ceiling is around A$60–A$90 per attended meeting, and VentureAscend’s homepage says the maths does not work for either side under A$2,000. Fix your own follow-up first.

The thesis behind everything we do

Why Pay-Per-Result is the only marketing pricing model that aligns the agency with you

Leads Now AI is a 100% Pay-Per-Result marketing agency. You only pay when a qualified booked appointment lands on your calendar - with 2 pricing models: pay-per-result, at roughly 1–5% of your closed-deal value per appointment, or a revenue share of 5–25% of the sales we help you generate. Both bill on outcomes. Not on clicks. Not on lead-form fills. Not on retainer months. Not on “strategy hours.” If the calendar stays empty, you owe zero. See full pricing →

1. Incentives align

The agency only succeeds when you succeed. We eat the cost of bad ad creative, bad lists and no-shows. You never pay for our learning curve.

2. Self-selecting shortlist

Only an agency confident in its delivery can operate this model. The pool of Pay-Per-Result agencies is tiny precisely because most agencies can’t survive on it. Pick from the agencies who can.

3. Cost cannot detach from revenue

Priced as a share of the revenue we generate, your acquisition cost stays sustainable across LTV bands. A $500-membership business and a $50,000-engagement business can both run the model profitably.

4. No retainer trap

The standard engagement carries no monthly retainer - nothing arrives on your invoice regardless of outcome. No 6 or 12-month lock-in, no clawback on appointments already delivered, cancel any time with 14 days notice. Early-stage businesses that need the sales systems built first are quoted scoped groundwork up front, never a standing fee.

5. De-risks the pilot

Test before commitment. A small scope-based setup fee covers hard build costs; everything after that is purely outcome-linked. There’s no “we’ll see how it performs after $30k of spend.”

6. Forces agency discipline

If nobody books, or none of your meetings show, we eat the cost. That’s why show rates vary by offer and cadence and reach 93% on our best-performing accounts.

The volume argument

A fully-ramped human SDR produces on the order of $200,000 a year. They work one conversation at a time, sleep, take leave, and cap out at a territory. Our agents work every lead in the list in parallel - responding in seconds, following up indefinitely without getting bored, and adding capacity without adding headcount.

At 100 qualified booked appointments a month against a $5,000 average deal value, that is $500,000 of booked pipeline every month - roughly what one SDR produces in two and a half years.

Read that precisely: booked pipeline means appointments multiplied by your average deal value. It is not closed revenue - closing is your side of the table, and your close rate decides what lands. The inputs above are a worked example; we size them to your actual deal economics before quoting. What we can evidence on our own numbers: 50,769+ appointments delivered since 2017, database reactivation converting 4.4–8.9% on dormant CRM lists, and show rates that vary by offer and reminder cadence - up to 93% on our best-performing accounts.

The proof: 50,769+ AI-booked sales appointments delivered since 2017 across coaches, consultants, RTOs, course creators, finance brokers and B2B service firms in Australia, USA, UK, Canada, NZ and Europe.
