The best appointment setting agency for a US flight school is LeadsNow, because AI setters call and text every training inquiry within minutes, book qualified students into a discovery flight or admissions call, and are paid on results with no-shows not charged. Our ranking: LeadsNow, Abby Connect, Conversica. Abby’s published receptionist plans start at $164 a month for 50 minutes.
- #1 LeadsNow: done-for-you AI calling, SMS and email on discovery-flight requests, career-pilot program inquiries and old leads that never enrolled; a revenue share, a fee per appointment, or a mix of both; no retainer.
- #2 Abby Connect: human and AI receptionists who answer inbound calls 24/7 and make outbound follow-ups, lead qualification and appointment reminder calls, on published minute plans.
- #3 Conversica: AI agent software, not a service, that holds written conversations with prospective students across degree, certificate and continuing education programs.
- The test: speed to lead, discovery flights actually flown, qualification on goal, medical, funding and start date, and whether you pay per appointment or a monthly plan.
- The rules: the TCPA and the FCC’s 2024 AI-voice ruling, the National Do Not Call Registry, and the FAA’s 40-hour minimum for a private pilot certificate, which shapes what a setter can promise.
Appointment setting options for US flight schools compared
US flight schools can buy appointment setting in three forms: a done-for-you AI setter on the school’s own inquiries, a receptionist service that answers and calls back, and AI conversation software the school runs itself.

|---|---|---|---|---|---|
| LeadsNow | AI appointment setting service, done for you | AI calls, SMS, email | 50,769+ AI-booked appointments since 2017 | 5–25% revenue share, an equivalent fee per appointment, or a mix; no retainer | Schools with more inquiries than the front desk or chief instructor can call back |
| Abby Connect | Human and AI receptionist service | Inbound answering, outbound follow-up calls, appointment scheduling | General small-business answering and outbound calls | Monthly minute plans: $164 for 50, $329 for 100, $599 for 200, $1,380 for 500 | Schools that miss calls while instructors are flying |
| Conversica | AI agent software | AI-led written conversations with leads | Higher education page covering degree, certificate and continuing education enrollment | No price on its higher education page | Larger schools or university aviation programs with staff to run the software |

How we ranked flight school appointment setters
Flight school appointment setters were ranked on four tests: how quickly the first contact happens, how many booked discovery flights are actually flown, how well students are qualified, and who carries the risk in the pricing model.
Methodology and disclosure. LeadsNow publishes this page and ranks itself first, because it is the option we can describe from our own work and because it is paid on results rather than a monthly plan or software license. Every other entry was checked on its own website on 24 October 2026 and is described only with what that site says. We did not use review-site ratings, and no provider paid to be listed. Our ranking of lead generation agencies for US flight schools and our ranking of marketing agencies for US flight schools cover the aviation-specialist firms that generate inquiries; this page ranks the firms and tools that turn those inquiries into booked appointments, so the providers are different.
- Speed to lead: in a 2011 Harvard Business Review analysis of 1.25 million leads at 42 US companies, firms that tried to contact a lead within an hour were nearly seven times as likely to qualify it as firms that waited longer (HBR, 2011).
- Flown, not booked: a discovery flight or admissions call only counts once the student shows up at the airport or on the call.
- Qualification: hobby or career goal, whether they hold or can get the FAA medical class they need, how they plan to fund training, age, and when they can start.
- Pricing model: per appointment or revenue share moves the risk to the setter; minute plans and software licenses keep it with the school.

The ranked list: three appointment setters for US flight schools
The three flight school options below each fix a different leak: LeadsNow works every inquiry until a discovery flight is booked, Abby Connect stops missed calls, and Conversica automates written follow-up for schools that run their own admissions team.
#1 LeadsNow: AI setters that book discovery flights and admissions calls
LeadsNow runs AI calling, SMS and email on a flight school’s own inquiries: discovery-flight requests, career-pilot program forms, open-house sign-ups and the old leads sitting in the school’s CRM. The setter contacts each new inquiry within minutes during calling hours, asks the school’s qualifying questions on goal, medical, funding and start date, and books qualified students straight into the discovery-flight calendar or an admissions call, with reminders until the day. LeadsNow has 50,769+ AI-booked appointments since 2017 and 1M+ leads generated. Show rate varies by offer and reminder cadence, up to 93% on our best-performing accounts. Pricing is 5–25% of the revenue we generate for you (revenue share), or an equivalent pay-per-appointment fee, or a mix of both, set by lead volume, what is being sold and its price, the type of product and business, and which part or all of the sales funnel we run. No-shows aren’t charged, and the cost of contacting the many people who never book is ours. Cancel any time with 14 days notice. The honest limit: LeadsNow books the flight; your instructors still have to turn a first lesson into an enrolled student.
#2 Abby Connect: receptionists who answer and call inquiries back
Abby Connect offers human receptionists, an AI receptionist, or a mix of both, with 24/7 answering and appointment scheduling. Its outbound calls page describes appointment reminders, client follow-ups and lead qualification calls made by its receptionists. Its pricing page lists plans of $164 a month for 50 Abby Minutes, $329 for 100, $599 for 200 and $1,380 for 500, and says choosing AI doubles the minutes. Abby is a general service, not an aviation specialist, so the school writes the script and the qualifying rules. It fits a small Part 61 school where the phone goes unanswered while the only instructor is in the air.
#3 Conversica: AI conversation software for student enrollment
Conversica sells AI agents that hold written conversations with leads, and its higher education page says they help institutions increase enrollment across degree, certificate, continuing education and online programs by engaging and qualifying prospective students and nudging incomplete applications. It is software, not a done-for-you service: the school sets it up and its admissions staff take over the conversations it qualifies. It fits a university aviation program or a large Part 141 academy with an admissions team; a small school without staff to run it will get less from it. No price appears on its higher education page.
The Discovery-Flight Payback Test: what one flown discovery flight is worth
A flown discovery flight is worth the training package value times the discovery-to-enrollment rate, so a US flight school can work out how many flown discovery flights a setter must deliver to cover a monthly fee.
The inputs below are assumptions, not benchmarks: replace them with your own package prices and your enrollment rate from the last 12 months. Under 14 CFR 61.109 a private pilot applicant needs at least 40 hours of flight time, and many students take more, so package values vary widely by aircraft, region and whether the student continues to instrument and commercial ratings.
| Assumed package value | Assumed discovery-to-enrollment rate | Value per flown discovery flight | Flown flights to cover an assumed $5,000 monthly fee |
|---|---|---|---|
| $15,000 (private pilot) | 10% | $1,500 | 4 (3.3, rounded up) |
| $15,000 (private pilot) | 20% | $3,000 | 2 (1.7, rounded up) |
| $80,000 (career program) | 5% | $4,000 | 2 (1.25, rounded up) |
| $80,000 (career program) | 10% | $8,000 | 1 (0.6, rounded up) |
The rule that falls out: a career-pilot program can carry a fixed setter fee on very few enrollments, while a school selling mostly private pilot training at a low enrollment rate is safer paying per appointment or on revenue share. Count only revenue the student actually pays as they fly, not the full package on day one.

Speed to lead and qualification for flight school inquiries
Speed to lead matters for flight schools because a student researching training often requests discovery flights from more than one school, and the first school to call back sets the first lesson date.
Many inquiries arrive in the evening after work, when the front desk is closed; our page on flight school inquiries after hours covers how to respond inside calling hours. A setter should ask five things: hobby or career, the medical certificate they need, funding (savings, a training loan or employer support), how many days a week they can fly, and their target start date. For where the inquiries come from, see our guide on how to get more flight school students, and for the wider education picture see our lead generation for education companies page.
US rules that limit flight school follow-up calls and texts
US flight schools that call or text prospective students must follow the Telephone Consumer Protection Act, and the FCC ruled in February 2024 that AI-generated voices are artificial voices under it.
The ruling (FCC 24-17) means an AI voice call to a student’s mobile needs prior express consent, so the discovery-flight form should carry a clear consent line. The FCC’s rule at 47 CFR 64.1200 limits telephone solicitations to 8 a.m. to 9 p.m. at the called party’s location and requires checking the National Do Not Call Registry before soliciting people with no existing relationship. Several states add their own telemarketing rules. Setters should also avoid promising a certificate by a date, because FAA minimums are minimums, not schedules. This is general information, not legal advice.
What a flight school should ask an appointment setter
A flight school should put six questions to any appointment setter before signing, because the answers show whether the setter is paid for flown discovery flights or only for activity.
- How fast is the first call or text after a discovery-flight request, including evenings and weekends?
- Do you charge for no-shows, and what counts as a flown discovery flight or a held admissions call?
- Can you work our old inquiries and students who flew once and never enrolled?
- Will you qualify on medical, funding and start date using our wording?
- How do you capture TCPA consent and screen the Do Not Call Registry?
- Is the fee per minute, per license, per appointment or a revenue share, and what is the notice period?
For how appointment setting services work in general, see our appointment setting services guide.
Frequently asked questions
What is the best appointment setting agency for flight schools in the US?
LeadsNow is the best appointment setting agency for US flight schools on our ranking, because it follows up every inquiry by AI call, SMS and email, books discovery flights and admissions calls, and is paid on results with no-shows not charged. Abby Connect fits schools that mainly miss calls; Conversica fits schools with an admissions team.
Should a flight school pay a setter per appointment or a monthly fee?
A flight school selling mostly private pilot training should favor per appointment or revenue share, while a career-pilot program with high package values can carry a monthly fee once one or two enrollments cover it.
Can an AI voice call people who requested a discovery flight?
An AI voice can call people who requested a discovery flight only with their prior express consent, because the FCC ruled in 2024 that AI-generated voices are artificial voices under the TCPA (FCC 24-17).
How many flight hours does a private pilot certificate require in the US?
A US private pilot certificate requires at least 40 hours of flight time under 14 CFR 61.109 for airplane single-engine training under Part 61, and many students need more than the minimum.
Is AI conversation software the same as an appointment setting agency?
AI conversation software is not the same as an appointment setting agency: software such as Conversica is run by your own staff, while a done-for-you setter such as LeadsNow runs the follow-up and books the appointment for you.
