How do I market a summer program to international families?

A premium summer program, academy or residential course sells through four steps: an enquiry, a two-way conversation with a parent, a family call where both parents (and often the child) hear the program, and an enrolment with a deposit. There is no credible public benchmark for any of these rates in premium youth programs, so every rate below is a labelled assumption. Replace each with your own figures from last summer.

The Visa-Back Deadline: when does a summer program’s enrolment season really end?

A summer program’s enrolment season ends for a visa-national family weeks before the published closing date, because the visa has to be applied for, decided and returned before the flight. The UK Standard Visitor visa costs £135, can be applied for no earlier than 3 months before travel, and usually gets a decision within 3 weeks. Visitors can study on courses of up to 6 months. Under the Schengen visa rules, which also cover Switzerland, an application must be lodged at least 15 days and no earlier than 6 months before the journey, and the normal 15-day processing time can be extended to 45 days.

The Visa-Back Deadline is our working rule, not a regulation: last enrolment date for a visa-national family = travel date − (standard decision time × 2) − 14 days. The doubling and the 14 days absorb appointment waits, document requests and the time it takes a parent to act. Where the authority publishes an upper limit, use it instead.

The enrolment deadline curve is the share of places you expect to sell in each phase of the season, with the phase boundaries set by real dates: your early-bird deadline, the start of the visa window and the Visa-Back Deadline. Phase 3 is the busiest selling weeks of a summer program’s year in this model, at more than twice the weekly rate of the early-bird phase, and it ends on a date no marketing can move. The practical consequence: by 1 April, every open enquiry from a visa-national family needs a family call booked, because the next five weeks are the last chance. When should I call parents in another time zone? The Parent Evening Map

Call international parents in their evening, 18:00–21:00 local time, when both parents are more likely to be home and free to talk. That is our working assumption, not a measured benchmark, and it is the one to test first. The map below converts that window to your desk’s clock for the northern winter, when most places sell.

A London-based summer program can reach Asian and Gulf families in their evening without changing anyone’s hours, but its Latin American families are only reachable in their evening between 21:00 and 03:00 London time. A New York-based program has the mirror-image problem with Shanghai. If a third of your enquiries come from the column your desk cannot reach, that third is being called in the family’s working day, which is the reasoning behind the assumed 30% contact band in the first table. What should the first call with a parent cover?

The first parent conversation for a summer program has one job: to book the family call with everyone who decides. Cover four things and stop.

  1. Dates and visa: which session, and does the child need a visa? If yes, say the Visa-Back Deadline out loud.
  2. Who decides: both parents, the child, a grandparent paying? Book the family call at a time all of them can attend, in their evening.
  3. Safeguarding and care: supervision ratios, medical support, airport transfers. Parents ask these before they ask about the curriculum; have written answers ready.
  4. Siblings and repeat years: a second child or a returning student changes the place count and the price conversation.

As an illustrative assumption, each enquiry takes about 20 minutes of admissions time across call attempts, messages and logging, and each family call about 45 minutes. At the 45% contact band that is 1,169 × 20 minutes plus 263 × 45 minutes: about 390 + 197 = roughly 590 hours a season, concentrated in phases 2 and 3. For a London team, the Latin American share of those hours falls between 21:00 and 03:00.
